The Receptionist/Office Support position demands a versatile professional capable of juggling multiple responsibilities ranging from front desk reception and visitor management to event coordination and office supply upkeep. The ideal candidate will bring 3 to 5 years of relevant experience, particularly in professional event planning, catering support, and vendor coordination, ensuring every office event is executed flawlessly, and daily catering services run smoothly. This position requires a positive and collaborative attitude, as it involves constant interaction with visitors, employees, and external vendors. Strong organizational skills and prior reception experience are essential to managing the daily rhythm of the office effectively.
Key responsibilities include managing front desk functions such as greeting visitors, coordinating access and parking, handling catering orders and setup, facilitating survey distribution to improve lunch services, and maintaining the office pantry and supplies. The role also oversees conference room readiness and maintenance scheduling for office equipment and facilities through vendor coordination. Maintaining cleanliness and a positive work environment by liaising with cleaning services and proactively addressing facility issues is a primary function. Additionally, the Receptionist/Office Support employee will contribute to identifying process improvements and cost efficiencies, ensuring the office runs at optimal performance.
Further, the role requires proficiency in Microsoft Office tools, including Outlook, Teams, OneNote, Excel, Word, PowerPoint, and Edge, to support daily operations and internal communications effectively. The employee is also expected to contribute to the development and implementation of office policies and procedures, aligning administrative practices with corporate standards and enhancing operational consistency.
Working Monday through Friday from 7 AM to 4 PM, this full-time position plays an integral role in supporting the Site Leadership Team during events and internal initiatives. As the primary onsite contact for visitors, the Receptionist/Office Support professional ensures a seamless and welcoming experience, reflecting the company's commitment to excellence and employee engagement.
