This position serves as the first point of contact for all clients and visitors, ensuring that they are greeted warmly and that security protocols are strictly maintained. The Receptionist will be responsible for greeting both internal and external clients via in-person meetings, telephone, or email communications, embodying the firm’s values of professionalism and hospitality.
The role includes managing the scheduling and use of the firm’s conference rooms and facilities, providing telephone coverage not only for the Richmond office but also for other McGuireWoods offices, and supporting the local office’s administrative needs. The Receptionist will work closely with a collaborative team to ensure seamless operations and maintain the high standards for which the firm is known.
Key responsibilities also include providing hospitality services such as assisting visitors with personal belongings, offering beverages, and handling basic print or copy requests. The role also requires responsiveness to client and visitor needs, effective coordination of meeting requirements such as audio-visual setups, conference room arrangements, and food and beverage requests, as well as maintenance of visitor access lists and logging accurate messages.

Job Requirements
- High school diploma or GED
- Minimum of 2 years of related experience preferably in a corporate setting
- Strong administrative skills with the ability to manage multiple priorities
- Presence of mind and sound judgment in emergency and simulated situations
- Collaborative team player who is proactive self-motivated and eager to take on additional responsibilities
- Friendly approachable and adaptable with a positive attitude and willingness to learn
- Excellent verbal and written communication skills
- Flexibility to work overtime as needed
- Willingness and desire to work with innovative technology platforms

Job Duties
- Serve as the first point of contact by welcoming and announcing all clients and visitors ensuring adherence to security protocols including managing visitor access lists
- Answer and direct inquiries accordingly through attendant console software
- Relay accurate messages as required
- Work as part of a collaborative receptionist team to manage and direct incoming calls for local and other firm offices
- Extend hospitality services as necessary such as assisting with personal belongings offering beverages basic print copy assistance parking ticket validations
- Manage conference room reservations including reserving and confirming new reservations approving pending reservations adjusting meeting locations as necessary and notifying appropriate parties of changes or updates accurately maintaining electronic room reservation system
- Coordinate with appropriate personnel to ensure meeting requirements are met including audio-visual setups conference room arrangements and food and beverage requests
- Provide general administrative assistance to legal staff and management as required
- Reserve Visiting Attorney offices and coordinate special requests for clients internal personnel and visitors
- Communicate facility maintenance needs to appropriate personnel
- Maintain reception conference room and visiting attorney areas to firm standards
- Maintain knowledge of emergency procedures and participate as part of the Building Evacuation Team
- Perform additional duties as directed
