The Receptionist position is a PRN (as needed) role offering flexibility for those seeking part-time opportunities without a fixed schedule. This role requires you to be the face of the community, greeting residents, family members, applicants, visitors, and vendors with professionalism and kindness. You will manage a multi-line phone system, ensuring calls are answered promptly and messages delivered accurately. As part of your responsibilities, you will handle the distribution and sending of mail and faxes, maintain office supply inventory, and assist with special projects or mailings as requested by managers. Support will also be provided to the Executive Director and Business Office Manager when needed.
An essential aspect of this role is maintaining the confidentiality of resident information and protecting their rights at all times. Your demeanor and appearance will reflect the values of our community, contributing to an environment that is nurturing and respectful. You will also oversee daily meal service coverage by coordinating with the Culinary Services Director and Host/Hostess, take resident meal orders, provide beverage refills, and help with dining room preparation and cleanup between mealtimes. This multi-faceted role demands excellent organizational skills, the ability to work independently using good judgment, and the ability to remain composed in a dynamic and sometimes stressful environment. Job Duties
- Manage a multi-line telephone system by answering calls in a timely manner, relay messages accurately and courteously, provide a positive first impression of the community to all customers, distribute and send mail and faxes, maintain inventory of office supplies, assist managers with special projects and mailings, support Executive Director and Business Office Manager as needed, maintain confidentiality of residents' personal information, uphold a professional appearance and demeanor, maintain a positive customer service environment, ensure adequate daily coverage for meal service by coordinating with Culinary Services Director and Host/Hostess, take resident meal orders, provide drink refills, assist with cleaning, resetting and preparing dining room between meals, perform all other assigned duties
