We are currently seeking a motivated and friendly receptionist to join our team on an as-needed basis. This role is pivotal as it often forms the first impression for anyone interacting with our community. The receptionist will be responsible for managing multi-line telephone systems, greeting and assisting visitors with a positive attitude, handling mail and fax distributions, and supporting various administrative tasks as needed. This is a role that requires excellent communication skills, a professional demeanor, and the ability to manage multiple duties in an organized and timely manner.

The ideal candidate will be someone who can provide outstanding customer service while maintaining confidentiality and discretion with sensitive information about our residents. Additionally, this position supports the Executive Director and Business Office Manager and liaises with different departments to ensure efficient daily operations. The role also requires collaboration with the Culinary Services Director to ensure meal service coverage and help with dining room management tasks when needed.

Working in an open office environment with frequent distractions, the successful candidate must demonstrate the ability to remain composed under pressure and maintain professionalism even during busy or stressful periods. The role mandates regular lifting of office supplies up to 20 pounds, emphasizing the need for physical stamina. Education-wise, a high school diploma or equivalent is required. Job Requirements

  • High school graduate or equivalent
  • Ability to maintain a positive, pleasant manner in a stressful, demanding environment
  • Ability to maintain composure during frequent interruptions and in emergency situations
  • Ability to read, write and verbalize understanding of written documentation, verbal instructions, and policies and procedures
  • Ability to work independently without direct supervision by following community procedures and guidelines and using good judgment
  • Must be able to lift 20 pounds frequently when receiving and maintaining office supplies

Job Qualifications

  • Proven experience in a receptionist or customer service role preferred

Job Duties

  • Manages a multi-line telephone system by answering calls in a timely manner, relaying messages accurately and in a courteous, customer friendly manner
  • Provides a positive first impression of the community to all customers
  • Distributes and sends mail and faxes
  • Maintains inventory of office supplies
  • Assists managers in special projects and mailings as requested
  • Assists Executive Director and Business Office Manager as needed
  • Maintains confidentiality of residents' personal information in and out of the community and protects and supports residents' rights
  • Maintains a professional appearance and demeanor that encourages a positive nurturing environment for the residents, families, vendors, and guests
  • Maintains a positive customer service environment and practices honesty and integrity in all aspects of performance
  • Ensures adequate daily coverage for meal service by communicating with the Culinary Services Director and/or Host/Hostess, to include taking resident orders for meals, providing drink refills according to residents' / guests' requests, assists with the cleaning, resetting and preparation of the dining room in-between mealtimes
  • Performs all other duties as assigned or required
