This job opening is for the position of Receptionist within the Energy Department, reporting to the Assistant Program Manager. As a non-exempt role categorized under Pay Grade 3, this position plays a crucial part in ensuring the smooth running of the reception area and presenting a positive first impression to all visitors, staff, and customers who engage with the office. The receptionist acts as the frontline representative, responsible for greeting and assisting all individuals entering or calling the office, thereby influencing the overall customer experience.
The Receptionist role is vital for maintaining the professionalism and organization of the office environment. Key responsibilities include managing visitor flow by greeting visitors, ensuring they sign in, and announcing them to the appropriate staff while ensuring visitors do not leave the lobby unescorted. Additionally, the receptionist manages incoming calls by directing them to the correct personnel or program efficiently. The role also encompasses handling mail and delivery services, including logging and distributing packages from US Mail, UPS, and FedEx. Further duties include maintaining various Excel documents, scheduling appointments, arranging meetings, and operating a range of office equipment. Job Requirements
- High school diploma required
- at least one year of secretarial or receptionist experience
- bilingual in Spanish strongly preferred
- ability to operate a variety of office equipment

Job Duties
- Greet all visitors including staff and customers as they enter and leave the building
- answer all incoming calls and direct to appropriate staff or program
- ask all visitors to sign in and wait to be announced to the appropriate staff person
- announce all visitors to staff persons and ensure that visitors are not permitted outside of the lobby unescorted
- receive and sign for US Mail, UPS and Fed Ex deliveries and ensure they are delivered to the appropriate staff person
- disperse CRT brochures and other related documents to customers
- forward to appropriate staff person
- notify supervisor or any problematic issues concerning customer or staff activity
- act as an immediate personal representative interacting with public and routine contacts
- maintain various excel documents
- schedule appointments and arrange meetings
- operate a variety of office equipment
- receive deliveries as required
- perform all other duties as assigned
