Job Requirements

  • High school diploma or equivalent required
  • associate's degree or relevant coursework preferred
  • 1-3 years of receptionist, front desk, or administrative support experience in a professional office setting
  • bilingual (English/Spanish) strongly preferred
  • proficiency in Microsoft Office Suite including Outlook, Word, Excel, Teams
  • professional demeanor with excellent verbal and written communication skills
  • strong organizational skills with the ability to multitask and prioritize in a fast-paced environment
  • dependable, punctual, and able to maintain confidentiality

Job Duties

  • Greet and welcome visitors, clients, vendors, and candidates in a professional and courteous manner
  • manage the reception area to maintain a clean, organized, and professional appearance at all times
  • answer, screen, and direct incoming calls on a multi-line phone system
  • take accurate messages and ensure timely follow-up
  • coordinate visitor access including sign-in procedures, badges, and conference room setup
  • notify employees of visitor arrivals and manage the front lobby schedule
  • sort, distribute, and process incoming and outgoing mail, packages, and courier deliveries
  • maintain office supply inventory and place orders as needed
  • assist with conference room scheduling, setup, and technology coordination for meetings and events
  • support kitchen and common area upkeep to ensure a professional environment
  • assist with basic IT coordination including submitting help desk tickets and troubleshooting minor equipment issues
  • provide general administrative support to leadership and staff as needed, including filing, scanning, data entry, and document preparation
  • coordinate building access, opening/closing procedures, and alarm system management
  • support new hire onboarding logistics including workspace setup, equipment coordination, and first-day welcome
  • assist with event planning and coordination for internal celebrations, carrier visits, and staff meetings
  • manage vendor relationships for office services including cleaning, catering, and building maintenance
  • track and maintain office-related documentation as needed
  • other duties as assigned
