Job Requirements

  • High school education or equivalent
  • One year of secretarial training or clerical experience
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office Suite
  • Ability to remain calm during emergencies
  • Strong organizational skills
  • Interest in working with older adults
  • Ability to maintain confidentiality

  • Excellent interpersonal and verbal communication skills in English
  • Strong organizational and detail-oriented skills
  • Pleasant telephone voice and professional demeanor
  • Proficient in Microsoft Office Suite and general computer use
  • Ability to work calmly under pressure and handle emergencies
  • Genuine interest in working with older adults
  • Ability to maintain confidentiality and handle sensitive information appropriately

Job Duties

  • Answer all telephone calls swiftly in a polite and friendly manner
  • Transfer calls appropriately and take messages when necessary
  • Monitor emergency systems and direct staff to emergency situations
  • Greet residents, staff, and visitors and provide relevant information
  • Ensure visitors and contractors sign in and wear badges as per policy
  • Keep the reception desk and lobby clean and organized
  • Facilitate transportation requests and coordinate timing
  • Assist residents with program and activity sign-ups
  • Manage office equipment usage and report supply needs
  • Sell postage stamps and handle mail and packages
  • Process mail services for residents
  • Facilitate and input maintenance requests and communicate urgencies
  • Complete guest charge sheets following procedures
  • Support other departments and assist Office Manager with clerical tasks
  • Maintain confidentiality and handle sensitive information with discretion
