Job Qualifications

  • Three to five years of experience in a professional office environment in executive and/or administrative support
  • Proficient in MS Office, including Outlook, Word, PowerPoint, and Excel
  • Working knowledge of mail processes such as postage machines, FedEx, and UPS
  • Ability to read, interpret, and comprehend floor plans and office policies
  • Strong verbal and written communication skills
  • Exceptional organization and time management skills
  • Ability to work independently and within a team
  • Experience handling confidential information with discretion
  • Demonstrated problem-solving skills and attention to detail
  • High level of professionalism and maturity

Job Duties

  • Processes expense reimbursements, invoices, and purchase orders
  • Ensures timely submission and resolution of facilities-related requests
  • Maintains office efficiency through space allocations, office systems, layouts, and equipment procurement
  • Oversees kitchen supplies and ensures snacks and beverages are stocked
  • Manages reception area to maintain effective telephone and mail communications
  • Acts as liaison to office building management and coordinates operations
  • Assists with onboarding new hires and development of safety procedures
  • Coordinates administrative tasks for the Head of the Office including calendar management and preparation of confidential documents
  • Prepares travel arrangements and expense reports
  • Develops presentations, correspondence, and meeting minutes
  • Supports business development efforts and schedules coordination
  • Facilitates communication and distributes messages on behalf of the leadership team
  • Organizes local meetings, events, and coordinates logistics with vendors
  • Partners with marketing and events team to manage event planning logistics
