Job Requirements

  • High school diploma or GED
  • 1+ years of business experience in an office setting
  • working knowledge of computers including MS Word, MS Excel, and database management
  • excellent customer service, communication, and time management skills
  • ability to handle multiple tasks, work independently, problem solve and possess effective time management skills
  • strong customer service skills and personal commitment to service and hospitality
  • knowledge of administrative and clerical procedures
  • strong keyboard skills
  • must be at least 21 years of age
  • CPR certification within 30 days of employment and maintain throughout employment
  • ability to pass a pre-employment background check including criminal record check, drug screening, and motor vehicle record check according to company policy
  • must be legally eligible to work in the US without current or future sponsorship

Job Duties

  • Greet visitors and assist with contact person or meeting room
  • screen and direct all calls to appropriate contact including members, potential members, customers, clients, employees
  • monitor visitor access and maintain security awareness
  • manage room reservations and cleanliness
  • manage parking validations and sign-in
  • maintain break room including starting and emptying coffee machine
  • monitor emergency response system
  • respond to emergency situations in a timely and efficient manner
  • follow safety procedures and maintain a safe work environment
  • maintain daily log, records, and forms such as staff attendance sheet
  • answer telephone, record messages and direct calls to appropriate personnel
  • record sign-in/sign-out log sheets for tracking purposes
  • receive incoming and outgoing mail for distribution
  • ensure timely delivery of mail to appropriate personnel
  • order and maintain inventory of office/kitchen supplies
  • prepare agendas, information packets and other materials
  • maintain cleanliness of workroom and general maintenance of office equipment including stocking paper and supplies daily
  • assist with Summer Enrichment Program
  • draft letters, memoranda, budgets, and reports as assigned
  • plan and implement office systems, layout, and equipment procurement
  • assist with meetings and workshops by preparing materials, reserving conference rooms, and arranging refreshments
