Job Requirements

  • High school diploma or equivalent
  • prior experience in a receptionist or administrative support role preferred
  • strong organizational skills and attention to detail
  • excellent verbal and written communication skills
  • proficiency in Microsoft Office Suite
  • experience with Central Reach billing and scheduling software preferred
  • ability to multitask and prioritize in a fast-paced environment
  • demonstrated exceptional customer service skills
  • knowledge of autism spectrum disorders is a plus
  • ability to maintain confidentiality
  • ability to follow instructions and work under supervision
  • Safe Crisis Management, CPR, and First-Aid certifications (or willingness to complete training)

  • ability to interpret and apply guidelines and protocols flexibly to meet individual client needs
  • ability to log in to data/scheduling applications and input necessary information
  • Safe Crisis Management, CPR, and First-Aid certifications required (training provided if necessary)

Job Duties

  • Answer incoming calls, greet visitors, and provide exceptional customer service by addressing inquiries and directing them to the appropriate staff members
  • audit waiver notes and claims
  • assist with maintaining and updating client records, ensuring accuracy and confidentiality
  • collaborate with the clinical team to ensure timely communication and coordination of client appointments and cancellations
  • maintain the reception area, ensuring it is clean, organized, and stocked with necessary supplies
  • assist in organizing and coordinating meetings, conferences, and special events as needed
  • handle incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment
  • assist with various administrative tasks such as data entry, filing, and record keeping
  • uphold the center's policies and procedures to ensure compliance and a safe environment for clients and staff
  • maintain a positive and professional demeanor in all interactions with clients, visitors, and staff members
