Job Requirements

  • High school diploma or GED
  • 1-2 years of receptionist or front desk experience
  • Experience in healthcare or behavioral health setting preferred
  • Excellent communication skills
  • Strong organizational skills
  • Ability to multitask
  • Basic computer proficiency
  • Ability to maintain confidentiality
  • Bilingual (English/Spanish) preferred

Job Qualifications

  • High school diploma or GED
  • Minimum of 1-2 years of receptionist or front desk experience, preferably in a healthcare or behavioral health setting
  • Excellent communication and customer service skills
  • Professional appearance and demeanor
  • Strong organizational skills and ability to multitask in a fast-paced environment
  • Basic computer skills, including Microsoft Office (Word, Outlook) and ability to use electronic health records (EHR) systems
  • Bilingual (English/Spanish) preferred
  • Familiarity with substance use treatment programs such as ZOOBOOK, NJSAMS is a plus

Job Duties

  • Greet and check in all clients, visitors, and vendors in a professional and courteous manner
  • Answer and direct incoming phone calls and inquiries to the appropriate staff or department
  • Provide general information about the facility's programs and admission process as permitted
  • Ensure the reception and waiting area is clean, organized, and client-ready at all times
  • Maintain visitor and client logs and ensure sign-in procedures are followed in accordance with agency policy
  • Support the Admissions team with filing, scanning, copying, and distributing admission-related documents
  • Schedule appointments and follow-up calls for assessments, screenings, and intake interviews
  • Collect and verify identification and insurance documents from incoming clients
  • Maintain confidentiality and handle sensitive information in accordance with HIPAA and facility guidelines
  • Coordinate with security and clinical staff when clients arrive for intake or appointments
  • Assist with special projects, data entry, and other administrative duties as assigned
