Job Requirements

  • Bachelor's degree or secretarial school degree or equivalent
  • 2-4 years administrative support experience preferably at a professional services firm
  • Proficiency in computer skills including Windows XP and Office 2007 (Word, Excel, PowerPoint, Outlook)
  • Strong organizational skills and ability to manage competing priorities
  • Ability to work effectively in a fast-paced environment
  • Excellent verbal and written communication skills
  • Ability to handle challenging situations with professionalism and tact
  • High level of confidentiality and discretion
  • Ability to work within a complex matrix-structured organization

Job Duties

  • Provide coverage at the main reception desk to greet visitors
  • Communicate effectively and professionally via telephone, fax, electronic mail, and in person
  • Obtain information to promptly direct callers to appropriate resources
  • Work with Business Services Team to handle guests' needs including office assignment, car and food service requests, and administrative support
  • Receive and manage incoming and outgoing packages
  • Coordinate guest space and conference room reservations
  • Handle maintenance calls and follow through until resolution
  • Provide administrative support to Principals including telephone support, calendar functions, travel coordination, typing, copying, faxing, and filing
  • Organize and schedule client and internal meetings
  • Develop working relationships with clients and assistants
  • Maintain quality control by proofing work
  • Serve as a communication link amongst case team members
  • Attend case team meetings
  • Respond to information requests
  • Maintain a centralized electronic filing system and archive hard copies
  • Copy, collate, bind, and distribute case-related materials
  • Provide general administrative support including telephone support, event coordination, meeting set-up
  • Attend meetings and trainings as needed
  • Provide back-up assistance to other Business Services Team members
  • Maintain highest levels of internal and external confidentiality
