Job Requirements

  • High school diploma or equivalent
  • 1-2 years work experience as a receptionist, front office representative or similar role
  • Bilingual a plus
  • Dedication to meeting requirements of internal and external customers, responding to all customer requests promptly and thoroughly
  • Strong communication skills including the ability to work in a team environment, give honest, direct feedback, and be a solid verbal and written communicator
  • Competency in computer applications including Word, Excel, Outlook, and Canva
  • Experience with administrative and clerical procedures
  • Regularly required to sit, stand, bend, and lift/move up to 10 pounds, may lift/move up to 50 pounds occasionally

Job Duties

  • Operate Zoom computerized phone system and answer all incoming calls
  • Relay incoming and inter-company calls promptly and professionally
  • Greet office visitors and monitor visitor log
  • Maintain office security by following safety procedures and controlling access via the reception desk (employee badges, intercom system)
  • Update calendars and schedule meetings
  • Generate HQ name tags/badges as needed
  • Assist in UPS, including but not limited to receiving, sorting, and delivering packages
  • Assist the travel department with arranging travel and accommodations
  • Assist the relocation department with relocating employees
  • Assist with various office/clerical duties as needed
  • Meet deadlines, prioritize appropriately, cope well with change, and maintain composure under pressure
  • Perform other job duties as needed
