Job Requirements
- High school education or equivalent
- One year of secretarial training or clerical experience
- Excellent interpersonal and communication skills
- Ability to remain calm in emergency situations
- Knowledge of computers including Microsoft Office Suite
- Ability to maintain confidentiality
- Interest in working with older adults

- Highly organized and detail oriented
- Excellent interpersonal and communication skills both verbal and written in English
- Pleasant personality and telephone voice
- Ability to remain calm in emergency situations
- Complete confidentiality when circulating information
- Knowledge of computers including Microsoft Office Suite
- Interest in and desire to work with older adults
Job Duties
- Answer all telephone calls as quickly as possible in a polite, personal, and friendly manner
- Transfer calls appropriately
- Take messages when the individual requested is not available
- Monitor emergency system and direct staff to emergent situations
- Call emergency personnel as appropriate
- Complete resident checks as appropriate to specific desk
- Provide information to visitors and direct them to the appropriate individual
- Ensure visitors/contractors sign in and wear badges according to policy
- Keep reception desk and lobby clean and organized
- Facilitate transportation requests and communicate timing to residents and staff
- Call residents to remind them of transportation trips
- Assist residents in signing up for programs and activities and collect payment
- Demonstrate knowledge of office equipment to staff
- Monitor equipment, report supply needs and issues
- Sell postage stamps to residents and staff
- Receive, sort and log mail and packages
- Inform residents/staff of packages to pick up
- Facilitate maintenance requests and communicate urgent situations
- Complete monthly charge sheets
- Support other departments with clerical duties
- Support the Lead Receptionist in clerical duties and reception area maintenance
- Balance cash register/drawer including cash receipts and checks
