Job Duties

  • Efficiently and pleasantly answer and direct all inbound telephone calls for the Portland branch as 1st in the designated telephone hunt group and 2nd in the regional telephone hunt group for other offices as assigned
  • Greet visiting Cross Insurance clients, carrier partners, and vendors ensuring timely customer service with the appropriate branch staff
  • Ensure all office communal areas remain tidy and fully stocked, and conference rooms are properly scheduled and prepared for all meetings
  • Manage branch mail including opening, organizing, distributing inbound mail, logging into agency management system and/or scanning to appropriate department staff
  • Collect and stamp outgoing mail and coordinate pickup and drop off
  • Log into various carrier websites to download and process Commercial Lines department policy and billing documentation
  • Manage Portland Reception email inbox and route emails to the correct recipients
  • Process Direct Notices of Cancellation and Reinstatements for Portland Commercial Lines department
  • Complete daily checklist for office duties and maintenance
  • Provide primary back-up for Receptionist II as needed
  • Undertake special projects as assigned by Manager
