Job Requirements

Job Duties

  • Open and close the office daily, ensuring the reception area is tidy and business-ready
  • Greet and assist all visitors, both in person and over the phone, directing them to the appropriate contact or department
  • Manage incoming calls, route them appropriately, and take accurate messages when needed
  • Maintain an up-to-date employee and department directory for efficient visitor and call routing
  • Issue visitor passes and ensure all security protocols are followed
  • Manage incoming and outgoing mail and packages (USPS, FedEx, and other couriers)
  • Maintain office floor plans, coordinate desk setups for new hires, and update seating charts
  • Organize and maintain both physical and digital filing systems
  • Order and restock office supplies, including kitchen and common area items
  • Support conference room reservations, meeting setups (including AV), and refreshments
  • Assist with planning and executing in-office events, including vendor coordination and day-of support
  • Serve as a resource for employee requests related to travel, supplies, and meeting logistics
  • Oversee the daily guest pass system and ensure proper documentation for temporary access
  • Handle lost and found inquiries and coordinate returns
  • Ensure kitchens, conference rooms, and shared spaces are clean, organized, and well-stocked
  • Report maintenance issues to building management or internal teams and follow up as needed
  • Adhere to and help enforce health and safety protocols to ensure a clean and secure office
  • Provide administrative support to the Operations leadership team and other departments as needed
  • Complete projects and tasks using Microsoft Office Suite (Word, Excel, PowerPoint)
  • Contribute to team efforts by performing additional duties as assigned
