The incumbent must respond thoughtfully to routine inquiries and escalate issues when necessary, ensuring smooth communication channels. They greet and direct visitors with professionalism and courtesy, enforcing security procedures and maintaining safety oversight by notifying security personnel of any unusual or suspicious activities. Beyond greeting guests, the receptionist ensures the proper management of the visitor area, including check-ins and escorts.
Administrative support is also a pivotal part of this role, which includes maintaining schedules for conference rooms, sorting and distributing faxes and packages, and providing backup for mailroom duties when required. The position demands excellent organizational skills, attention to detail, and the ability to handle multiple priorities simultaneously. Job Duties
- Properly answer and administer all incoming phone calls
- Ensure phone calls are directed accordingly
- check general mailbox for voice messages and forward to the appropriate person/s
- Greet and check in customers, vendors, visitors, employees, and other guests in a professional, friendly manner
- Inform appropriate personnel of visitors and/or escort them to their destination
- Maintain schedule of conference rooms
- Sort and distribute faxes and packages appropriately
- Provide back up for mail room responsibilities
- Provide general administrative support and assist with tasks when requested by various business units
- Open and close visitor area
