Job Requirements
- High school diploma or equivalent
- previous experience in receptionist or operations support roles preferred
- excellent verbal and written communication skills
- ability to multitask and work efficiently in a fast-paced environment

Job Qualifications

- previous experience in a receptionist, operations, logistics, or sales support role preferred
- proficient with Microsoft Office Suite and comfortable using online shipment tracking and vendor portals

Job Duties
- Serve as the first point of contact for internal and external communications, including email correspondence with vendors and customers
- generate and update expediting reports for projects, ensuring timely submission to customers
- support the sales team with day-to-day operations to help meet team objectives
- coordinate closely with vendors, warehouse staff, material handlers, and logistics teams to track and confirm shipments
- monitor shipping statuses via vessel trackers, email, and carrier contact
- communicate updates with customers and internal teams
- track supplier shipments to ensure on-time delivery and flag critical or delayed shipments
- handle discrepancy reports and invoice issues in coordination with accounting
- create and manage change orders to prevent delays in shipment or payments
- maintain and update customer websites with accurate order and delivery statuses
- retrieve and organize packing lists, material test reports (MTRs), and quality assurance documentation for direct shipments
- assist with proofreading orders, spreadsheets, and general office tasks as needed
