Job Requirements

  • High school diploma or equivalent
  • previous experience in receptionist or operations support roles preferred
  • excellent verbal and written communication skills

Job Duties

  • Serve as the first point of contact for internal and external communications, including email correspondence with vendors and customers
  • generate and update expediting reports for projects, ensuring timely submission to customers
  • support the sales team with day-to-day operations to help meet team objectives
  • coordinate closely with vendors, warehouse staff, material handlers, and logistics teams to track and confirm shipments
  • monitor shipping statuses via vessel trackers, email, and carrier contact
  • communicate updates with customers and internal teams
  • track supplier shipments to ensure on-time delivery and flag critical or delayed shipments
  • handle discrepancy reports and invoice issues in coordination with accounting
  • create and manage change orders to prevent delays in shipment or payments
  • maintain and update customer websites with accurate order and delivery statuses
  • retrieve and organize packing lists, material test reports (MTRs), and quality assurance documentation for direct shipments
  • assist with proofreading orders, spreadsheets, and general office tasks as needed
