Job Requirements

  • High school diploma or equivalent
  • Customer service experience preferred
  • Basic computer proficiency including multi-line phone system operation
  • Strong verbal and written communication skills
  • Ability to multitask and remain calm under pressure
  • Attention to detail
  • Teamwork and collaboration skills
  • Commitment to completing 15 hours of continuing education every 2 years
  • Ability to assist with patient restraint and clinical support when needed
  • Ability to maintain cleanliness and order in the hospital environment

Job Qualifications

  • High school diploma or equivalent
  • Previous customer service experience preferred
  • Basic computer skills and familiarity with multi-line phone systems
  • Ability to handle multiple tasks in a fast-paced environment
  • Strong communication and interpersonal skills
  • Attention to detail and organizational skills
  • Ability to work collaboratively with a team
  • Willingness to complete continuing education as required
  • Prior experience in a veterinary or medical office setting is a plus

Job Duties

  • Answering the phones directing calls taking and directing messages gathering pertinent information making appointments canceling appointments and maintaining a 5 line phone system including the voice mail
  • Checking in appointments including Dr appointments grooming boarding surgeries and dentals and verifying and gathering the information needed for each different service
  • Patient restraint and in room help when needed
  • Checking out appointments and receiving payment for services rendered
  • Locating patient information and transferring it when needed
  • Retail sales
  • Maintaining the cash drawer
  • Balancing and reconciling the payments at the end of every day
  • Passing information on to other departments involved when received at the front desk
  • Reviewing faxes and emails and ensuring they get to the appropriate department or individual
  • Scanning all patient information into Cornerstone
  • Ensuring that patients have adequate vaccines needed for appointments and retrieving vaccine dates and medical histories then scanning missing information into Cornerstone
  • Anticipating the needs of those around you
  • Cleaning each exam room after each patient client
  • Maintaining a clean lobby front desk and retail area
  • Cleaning the glass on the front doors and in the exam rooms when needed
  • Taking the front trash out to the dumpster every night at the end of shift including trash from break room exam rooms offices retail and front desk
  • Performing documented 15 hours of continuing education every 2 years as required by AAHA certification
