Job Qualifications

  • Associate degree or equivalent
  • minimum of 1 plus years experience as receptionist in an office setting
  • basic knowledge of general office procedures
  • strong interpersonal skills
  • strong telephone etiquette and communication skills
  • ability to work effectively in a culturally diverse environment
  • bilingual English/Spanish

Job Duties

  • Screens incoming calls, takes messages as appropriate, directs caller to correct individuals
  • greets visitors and clients, determines their needs, and notifies the proper person and/or directs them to the proper office
  • sets appointments for client intakes
  • sorts and distributes incoming mail and takes outgoing mail to post office or mailbox
  • notifies technicians if telephone system, copier, printer, or other equipment is in need of repair or maintenance
  • prepares purchase orders for office supplies
  • collects and places office supply orders and verifies order for accuracy upon receipt
  • ensures that each employee signs in and out
  • assists Resettlement, Match Grant, APA, Safe Release, Employment and Immigration staff to include all necessary blank forms when preparing files for anticipated clients
  • maintains a list of clients seeking assistance
  • daily attendance is mandatory
  • maintains schedule for conference room
  • assists the Eligibility Specialist with the intakes
  • attends staff meetings
  • performs other duties as assigned
