Currently, THE FORUM is recruiting for a hospitality-focused Receptionist role. This part-time position requires availability on weekends and offers an hourly wage ranging from $21.80 to $26.60. The Receptionist is the welcoming face of the community, responsible for greeting residents, guests, prospective employees, suppliers, vendors, and outside service providers with warmth and professionalism. This role is critical in creating a positive first impression and ensuring the smooth operation of front desk activities.
The Receptionist at THE FORUM performs a variety of essential duties, including managing the reception desk, answering and directing telephone calls, and providing courteous and efficient customer service. They also assist with the community’s marketing and sales efforts by responding to inquiries both in person and over the phone. The role involves handling payments, reservations, appointments, and cancellations while maintaining confidentiality under HIPAA regulations. Additionally, the Receptionist performs clerical tasks such as sorting mail, preparing business correspondence, and updating resident records.

Job Requirements
- High school diploma or GED
- minimum of one year’s receptionist experience
- effective verbal and written communication skills
- proficiency with Microsoft Word and Office applications
- ability to type at least 35 words per minute
- strong grammar and spelling skills
- ability to use office equipment
- capability to follow detailed instructions
- commitment to senior care and hospitality standards
- willingness to work weekends
Job Qualifications
- High school diploma or GED with a minimum of one year’s experience as a receptionist
- must be able to communicate effectively both in verbal and written communication
- working knowledge of Microsoft Word and other Microsoft Office applications
- ability to type at least 35 words per minute
- must be able to create Word documents and correspondences using correct grammar and spelling
- ability to use a personal computer, copy machine, and other office equipment
- must be able to handle a multiplicity of routine tasks following specific and general instructions
- ability to provide secretarial and clerical services in a senior housing and health care environment that meet or exceed hospitality and service standards
- willingness to work with the elderly
Job Duties
- Opens and closes the reception desk and properly secures all files, keys, and equipment in the office area
- serve as a telephone receptionist for the Community during meetings or exceeding hospitality and service standards
- greet visitors and inform them of the sign-in procedure
- receive record and transfer telephone calls to the appropriate parties
- take and deliver telephone messages as necessary
- acquire in-depth knowledge of the community telephone system
- assist with the Community’s marketing and sales process by answering inquiries
- accept and record all payments, reservations, appointments, and cancellations
- sort and distribute incoming mail
- provide typing and word processing services for business office correspondence and residents
- maintain and protect the confidentiality of resident information by following HIPAA regulations
- practice all safety, loss prevention, and infection control procedures
- attend in-service training and education sessions
- update resident records such as absent logs, unit authorization records, pet records
- update Resident Engagement Portal information and slides
