The role of Reception Manager at GAIA is vital within the Front of the House department, reporting directly to the General Manager. This position is responsible for overseeing all front desk and reservation functions, ensuring every guest is greeted with warmth, professionalism, and efficiency consistent with GAIA's luxury hospitality standards. The Reception Manager directs and develops the Reception, Host, and Reservation teams, managing day-to-day operations and facilitating smooth communication and coordination between the front desk and restaurant leadership.

Key responsibilities include supervising the use of the SevenRooms reservation system, managing booking flows, handling VIP guests, optimizing seating and table allocation to maximize revenue, and maintaining an impeccably organized reception area. This role requires coordinating with restaurant and service teams to ensure seamless guest seating and efficient turnover, as well as maintaining accurate reporting on reservations, guest counts, and VIP interactions.

The Reception Manager also plays a critical leadership role by recruiting, onboarding, and training new team members, preparing staff schedules, conducting performance evaluations, and ensuring compliance with standard operating procedures (SOPs). They are expected to drive service excellence by motivating and coaching their team to deliver outstanding guest experiences consistently.

This position demands a polished professional who can communicate effectively, resolve conflicts, and adapt to fast-paced environments while paying close attention to detail. The ability to manage multiple tasks, delegate appropriately, and maintain composure during peak service times is essential. Physical demands include standing and walking for long periods, manual dexterity for handling reservation systems, and the stamina to maintain focus throughout shifts.

The work environment comprises a luxury hospitality setting with extensive guest interaction, typically indoors in a climate-controlled area, with occasional outdoor duties for guest greeting. Flexibility is required concerning work hours, including evenings, weekends, and holidays, aligned with business needs.

Job Requirements

  • Bachelor’s degree in hospitality management or related field preferred
  • minimum of three years supervisory experience in fine dining, luxury hospitality, or guest relations
  • advanced proficiency in reservation and guest management systems preferably SevenRooms
  • strong computer literacy with Microsoft Office Suite and POS familiarity
  • proven track record of leading and developing high-performing teams
  • excellent command of English
  • ability to stand and walk for up to 8-10 hours per shift
  • ability to reach, bend, and lift up to 15 pounds
  • must communicate clearly in person and by phone
  • manual dexterity and visual acuity for operating reservation systems
  • ability to maintain focus during high-volume periods
  • flexible schedule including evenings, weekends, and holidays

Job Qualifications

  • Bachelor’s degree in hospitality management or related field preferred
  • minimum three years supervisory experience in fine dining, luxury hospitality, or guest relations
  • advanced proficiency with reservation and guest management systems preferably SevenRooms
  • strong computer literacy including Microsoft Office Suite and POS familiarity
  • proven leadership and team development skills

Job Duties

  • Lead, train, and supervise reception and reservations teams ensuring service standards and operational procedures are followed
  • oversee SevenRooms reservation system managing bookings, modifications, cancellations, and VIP preferences
  • monitor reservation pace, table allocation, and seating optimization to maximize revenue and guest satisfaction
  • ensure every guest is greeted warmly, promptly, and professionally upon arrival in person or by phone
  • coordinate with restaurant manager and service teams for smooth seating and efficient turnover
  • maintain cleanliness and organization of reception area and entrance
  • handle guest concerns promptly and professionally with a focus on solutions
  • manage daily reservation reports including guest counts, cancellations, no-shows, and VIP summaries
  • support planning and coordinating special events, large groups, and private dining
  • conduct daily team briefings to communicate priorities and goals
  • ensure opening and closing checklists are completed and signed
  • recruit, onboard, and train new team members
  • prepare weekly staff schedules and adjust based on business forecasts
  • conduct grooming checks, SOP audits, and performance evaluations
  • collaborate with management to improve guest experience and operational flow
  • provide guidance during peak periods and promote teamwork across departments
  • perform additional duties as assigned by management
