The Reception & Outreach Coordinator role at the Student Disability & Accessibility Center (SDAC) is a full-time, staff position based on-site in Monterey Bay. This role is classified as Administrative Support Coordinator I (level 11/12) and offers an anticipated salary of approximately $3710 per month on an eleven-month schedule. The incumbent will provide vital clerical and administrative support essential to the SDAC’s daily operations. Reporting to the Director of SDAC and under the guidance of the Operations Analyst, the coordinator will manage a wide spectrum of reception, outreach, appointment, and administrative coordination duties. The position demands a proactive individual proficient in managing reception desk services, including handling inquiries from students, faculty, and external contacts promptly and professionally. Scheduling appointments and ensuring effective communication between students and advisors also form a core part of the responsibilities. Moreover, this role involves maintaining and processing students' applications, coordinating bulk outreach communications via email and social media, and supporting SDAC’s program scheduling and event participation. The coordinator also oversees confidentiality protocols and compliance with university policies, including sensitive information handling under state and federal regulations. The role requires a candidate adept at multitasking, technology use including Oracle/PeopleSoft and other software applications, and excellent interpersonal and organizational skills. Additionally, the coordinator is expected to train and guide student assistants, effectively manage communications, and support various administrative functions critical to the Center’s mission of enhancing accessibility for students with disabilities. Job Requirements

  • understanding and ability to operate in a variety of organizational structures
  • knowledge of business mathematics beyond basic arithmetic
  • previous reception and administrative experience in a disability-service setting

Job Qualifications

  • experience managing reception and office support operations
  • proficiency with Oracle/PeopleSoft or equivalent student information systems
  • advanced skills in Microsoft Office Professional and Google Workspace applications
  • knowledge of 25Live event scheduling software
  • familiarity with intranet drives and internet browsers

Job Duties

  • provide receptionist services for the SDAC reception desk including responding promptly and professionally to inquiries in person email and phone from students faculty staff and community members about SDAC services
  • schedule appointments for students and faculty with advisor
  • resolve questions related to SDAC services and refer complex or unresolved issues to operations analyst or support of the day position
  • open and close the reception suite and calming corner
  • process communications through the main SDAC delegated email account and telephone line
  • train and provide day-to-day work direction to reception student assistants
  • conduct application and appointment outreach to students who have not followed up after initial contact with SDAC
  • review student applications and academic status to determine appropriate advisor assignment
  • review appointment requests through AIM and verify advisor availability before approving
  • maintain AIM application module monitoring student application status for accuracy
  • process verification documentation submitted by students
  • conduct bulk email outreach to students on varying topics
  • coordinate with director admin and advising staff for additional bulk emails
  • assist in social media outreach content creation and posting
  • support programming with bulk outreach emails and ongoing communication to event participants
  • maintain outreach and programming calendar
  • support SDAC director in scheduling staff for events
  • support outreach during campus and other events
  • provide administrative support to director advising team and operations analyst
  • maintain confidentiality and uphold protocols for processing confidential information
  • uphold professional standards policies CSU mandates executive orders and SDAC procedures
  • perform other job-related duties and special projects as assigned
