The Special Events Coordinator position plays a pivotal role within the Office of Student Life, focusing on the leadership and management of special event operations within the university's recreational sports facilities. Reporting directly to the Assistant Director for Scheduling and Events, the coordinator oversees all aspects of events held in the recreation centers, ensuring these are executed smoothly and efficiently. This position serves as the primary evening and weekend professional staff contact for special events, managing interactions with reservations, customers, and clients to uphold exceptional service standards.
This role requires a detailed understanding of the department’s event policies and procedures, enforcing compliance among various event groups to maintain order and safety. The Special Events Coordinator collaborates closely with student organizations, external vendors, caterers, and facility operations staff, providing expert advice and consultation throughout the event planning process to facilitate successful outcomes. This involves coordinating equipment rentals, managing special event coverage, and acting as a liaison among all involved parties to resolve routine issues and ensure seamless event execution.
The role demands strong operational management skills, including responsibility for purchasing and maintaining event equipment, conducting regular inventory inspections, and performing internal audits. The coordinator also contributes to the refinement of scheduling and event procedures by assisting with the creation, review, and documentation of process guidelines. Job Requirements

- Minimum of 2 years relevant experience required

Job Duties

- Coordinate with catering, facility operations, external vendors, and services to arrange equipment and provide event coverage

- Coordinate off-site equipment rentals
