The role of the Rentals and Retreats Coordinator at JCC Ranch Camp is a seasonal position focused on leading and managing the successful execution of events for rental groups from August to October. This position requires working select weekends and demands a flexible and responsive approach due to the dynamic nature of event coordination. The coordinator will be responsible for supervising logistics including audio, visual, and other vendors, as well as supporting participants throughout the events. They act as the primary point of contact for rental groups, ensuring contractual obligations are met and programmatic elements are well-executed.

Key responsibilities include managing and delegating tasks to rental assistants and program staff to guarantee all details are handled with precision. The coordinator will assist with event setups, such as arranging chairs, tables, and equipment, ensuring all spaces remain clean and orderly before guests arrive. Post-event duties involve conducting walkthroughs to identify any damages and ensuring the campus is thoroughly cleaned and reset for future events. The role also includes occasional direct programming engagement, such as facilitating arts and crafts, tie dye, dancing, and s'mores activities to enhance the guest experience. Effective communication with kitchen staff regarding meal preparations and cleanup is also critical to flawless event delivery.

Candidates must adapt to a fast-paced and sometimes stressful environment, demonstrating flexibility and problem-solving skills. The physical demands of this role are significant, requiring the ability to sustain several miles of walking, handle up to 50 lbs of weight, and work both indoors and outdoors under varying conditions. Job Requirements

At least 1 year of experience in event management

Job Duties

Supervise logistics, audio, visual, other vendors, and support participants to ensure a successful execution of events
Manage and assign tasks to rental assistant and program team to ensure all event details are being executed correctly
Act as the main point of contact between rental groups and camp/JCC to execute the activities outlined in the client contract, support operational and programmatic elements of the retreat, and address issues as they arise to ensure a smooth event
Assist in setup chairs, tables, and other equipment needed for the given event
Ensure all spaces are clean and orderly before guests arrive
Complete a walk through with the client at the end of their retreat to assess damages and report to Assistant Director
Ensure campus is turned over and cleaned after the conclusion of each event by providing housekeeping in all living and program spaces
Provide occasional camp programming, including but not limited to tie dye, arts and crafts, dancing, and s'mores, to rental groups
Ensure the kitchen staff team has appropriate info and staffing for meal preparation and clean up as needed
Attend and monitor activities to ensure client satisfaction
Show flexibility and adaptability in a fast paced, often stressful, and ever-changing environment
Schedule rentals assistants and program teams to ensure event runs smoothly and hours are tracked correctly
Perform other duties as assigned
