Job Description

The University of Michigan is a premier public research university located in Ann Arbor, Michigan. As a leading institution dedicated to creating, communicating, preserving, and applying knowledge, the university fosters a scholarly environment that shapes future leaders and contributors to society. Known for its commitment to academic excellence and its mission to serve the people of Michigan and the global community, the university emphasizes inclusivity, innovation, and collaboration across its various departments and colleges. Specifically, the College of Literature, Science, and the Arts (LSA) plays a significant role in advancing liberal arts education, pushing the boundaries of human understanding, and nurturing critical thinkers and creators. The Departments of Statistics and Astronomy, both part of LSA, are integral to this mission, promoting rigorous research, education, and outreach to various audiences.

The role of Publicity and Event Coordinator for the Departments of Statistics and Astronomy is essential to the success of these academic units. This full-time position, based on the Ann Arbor campus and offered in a hybrid work mode, reports directly to the chief administrators of both departments. The coordinator's salary range is from $47,800 to $59,750, reflecting the importance and scope of the role. The primary responsibility involves developing and maintaining an active digital and print media presence that effectively engages diverse groups including students, faculty, alumni, and the broader community. Creating and disseminating high-quality branding and publicity materials are key tasks, alongside managing budgets to ensure cost-effective marketing and event strategies.

In addition to publicity, the coordinator plays a pivotal role in organizing and executing a varied calendar of academic and departmental events. These include weekly seminars, award receptions, distinguished lectures, recruiting activities, orientations, graduation celebrations, and special events. This position demands a high level of organization, attention to detail, and the ability to coordinate event logistics such as venue arrangements, catering, travel, and technological needs. The coordinator acts as the department’s expert user for space reservations, ensuring smooth operations for all events.

Project and administrative support also form a core part of the role. The coordinator will assist with departmental centers and initiatives by supporting project planning, implementation, and partnership with faculty and staff. This includes defining project scope, timelines, resource allocation, and milestone tracking. The role contributes to continuous improvement efforts, process development, and teamwork, supporting the departments' operational goals and enhancing overall effectiveness.

Flexibility in scheduling is required, as the coordinator will periodically manage events outside regular business hours, including evenings and weekends. Physical requirements include the ability to handle materials up to 25 pounds and manage setups involving heights of 3 to 4 feet. A strong commitment to professional and respectful communication in all interactions is imperative.

This role is ideal for someone with at least three years of administrative experience who is proficient in digital media, graphic design using Adobe Creative Suite, and possesses excellent organizational and teamwork skills. A bachelor’s degree in marketing, communications, public relations, or an equivalent combination of education and experience is preferred. Exceptional written and verbal communication skills, experience planning events with budget oversight, and the ability to assess and improve operational strategies will contribute to success in this position.

The University of Michigan is an equal employment opportunity employer embracing diversity and inclusion. This position offers a unique opportunity to contribute to the outreach, education, and community engagement efforts of two distinguished academic departments within a globally recognized university.
