Job Description
The Cincinnati Zoo & Botanical Garden is a renowned zoological and botanical institution dedicated to inspiring people with wildlife every day. Established as one of the oldest and most celebrated zoos in the United States, the Cincinnati Zoo is famed for its conservation efforts, educational programs, and exceptional visitor experiences. The zoo offers a broad variety of attractions that appeal to visitors of all ages and interests, including animal exhibits, botanical gardens, and engaging public events that enhance the overall visitor experience and foster a deeper connection with wildlife and nature.
The Public Events Coordinator plays a pivotal role within the Cincinnati Zoo's Special Events team, focusing on creating memorable, inspired public events that extend the zoo's brand and mission beyond a typical visit. This full-time, salaried-exempt position is essential in helping the zoo attract visitors year-round through approximately 29 promotional events annually. These events range from seasonal celebrations such as the Easter Celebration, Tunes & Blooms Concert Series, Zoo Babies, and HallZooween, to collaborative events with other departments like Zoofari and Zoo Brew. The coordinator acts as the orchestrator or 'conductor' of the event orchestra, ensuring that every aspect of each event is meticulously planned and flawlessly executed.
Working closely with a diverse internal team that includes Visitor Experience, Park Services, Marketing, Animal Management, Maintenance, and Development, among others, the Public Events Coordinator facilitates seamless collaboration to deliver a unique event promise. The role extends beyond planning and execution, involving tasks such as soliciting in-kind donations to reduce event costs, cultivating restaurant partnerships for event support, managing communications with volunteers and part-time staff, and supporting the Development Department with shared events and activations.
Responsibilities also include vendor management, entertainment solicitation, creative event ideation, problem-solving during fast-paced event days, and a commitment to excellence in customer service reflecting the zoo’s INSPIRED visitor experience philosophy. The coordinator is expected to maintain flexible availability including evenings, weekends, and holidays, and be physically capable of assisting with event setup and operations, often requiring long hours and labor-intensive work.
This position requires a candidate who is friendly, articulate, highly organized, proactive, and able to work independently with little supervision. The ability to handle multiple priorities, attention to detail, exceptional interpersonal skills, and reliability in attendance and performance are crucial. Job Requirements
- Completion of a post-offer, pre-employment drug and nicotine screen
- Successful TB test and background check
- Ability to work flexible schedule including evenings, weekends, and holidays
- Capacity to perform physical labor and stand/walk regularly during events
- Ability to lift, move, or carry up to 25 pounds
- Valid driver’s license and insurable to drive zoo vehicle
- Reliable transportation
- Friendly, articulate communication skills
- Strong customer service skills
- Excellent organizational and troubleshooting abilities
- Ability to work independently without constant supervision
- Flexibility to work long hours during event weeks
Job Qualifications
- A bachelor’s degree in marketing, communications, business, events, hospitality, or related field is desired
- Successful experience in events, hospitality, or attraction field preferred
- Command of Windows-based software and applications required
- Familiarity with ticketing, database, CRM systems such as Galaxy and Microsoft Dynamics is a plus
- Equivalent combinations of education and experience will be considered
- Demonstrated understanding and acceptance of the Cincinnati Zoo’s core values

Job Duties
- Planning and executing events from start to finish to exceed visitor expectations
- Assist the Special Events Manager with all logistics for other zoo events
- Solicit in-kind donations to minimize cost for all events
- Cultivate restaurant partnerships through the creation of an internal restaurant communication plan and prompt replies
- Act as a liaison between the Events Team and volunteers/part-time staff assisting with events
- Support the Development Department to execute shared events and on-site activations
- Create detailed external vendor arrival, setup, and teardown needs
- Solicit entertainment and create vendor agreements
- Help ideate and plan new event concepts to enhance visitor experience
- Display excellent customer service supporting the zoo’s INSPIRED visitor experience
- Work with various internal departments to operationally execute events
- Manage event timelines and problem-solve during events
- Assist HR and Admin teams with internal employee events
- Manage inquiries to the shared Events email inbox
- Perform administrative duties including finance, invoicing, budget tracking, purchasing, ticketing, signage, booking animal appearances, and other support tasks
