The Property Materials Manager for Event & Fleet Services at Phoenix College holds a pivotal role within MCCCD, responsible for overseeing event coordination, fleet services, and property rental operations across multiple campus locations. This full-time, regular position offers a competitive annual salary range from $56,202 to $73,062, depending on experience. The role demands a high level of responsibility, including planning and managing large-scale events such as commencements and institutional ceremonies, coordinating logistics from setup through breakdown, and overseeing vendor relations. Additionally, the manager is accountable for rental agreements, contract negotiations and scheduling room spaces for internal and external clients, while also serving as a backup when staff are absent. The position requires supervision of event and fleet support personnel, ensuring efficient daily operations and adherence to institutional policies.

Fleet services administration is a critical component of this role, involving the management of vehicle bookings, scheduling, maintenance tracking, and usage compliance. The Property Materials Manager must develop and maintain systems for operational data tracking, budget monitoring, and performance reporting to senior leadership. Given the dynamic nature of the job, the manager must be available for evening and weekend events when necessary to provide direct onsite oversight. Job Requirements

  • Bachelor's degree in business administration or public administration
  • Minimum five years of relevant administrative experience
  • At least two years of supervisory experience
  • Valid State of Arizona Class D driver's license
  • Ability to work evenings and weekends as required
  • May lift or carry up to 25 pounds
  • Ability to work at multiple locations
  • Proficient in contract lifecycle management systems
  • Compliance with institutional policies and procedures
  • Strong organizational and communication skills

Job Qualifications

  • Bachelor's degree from a regionally accredited institution in business administration or public administration
  • Five years of experience in administrative operations related to property and materials services, procurement contract negotiations, and project management
  • Two years of supervisory experience
  • Equivalent combination of education and related experience may be considered
  • Experience overseeing or administering internal and external space rental operations
  • Experience using Contract Lifecycle Management systems
  • Experience managing multi-department events including evening and weekend coverage
  • Experience planning and managing commencement or large-scale ceremonial events
  • Experience managing fleet booking, vehicle scheduling, or rental logistics
  • Experience tracking data and preparing regular reports
  • One year of full-time relevant MCCCD experience within the previous two years

Job Duties

  • Plan, manage, and execute multi-department events and programs including commencement and large-scale ceremonial events
  • Coordinate and oversee college-wide events on site from setup through breakdown
  • Manage on-site components of commencement planning and execution including staging, setup, and breakdown
  • Oversee event logistics such as space preparation, equipment placement, vendor coordination, and day-of troubleshooting
  • Serve as the primary on-site point of contact during events to ensure successful delivery for internal and external stakeholders
  • Manage vendor relationships and procurement of furniture, fixtures, and equipment for special events
  • Provide evening and weekend coverage for special events
  • Supervise and maintain accountability for rental agreement operations
  • Oversee contract lifecycle management systems and processes
  • Provide direct supervision over preparation of rental agreements, negotiation of terms, and scheduling of room space for internal and external clients
  • Review and approve rental contracts, pricing structures, and facility usage decisions to ensure policy alignment
  • Serve as backup to perform rental agreement functions during staff absences
  • Utilize Contract Lifecycle Management systems to track, monitor, and manage event, rental, and fleet-related contracts
  • Maintain accurate documentation and digital records of all agreements
  • Administer fleet booking and rental operations including vehicle scheduling, availability tracking, and customer coordination
  • Develop and maintain fleet usage procedures ensuring compliance with institutional policies
  • Monitor fleet inventory, maintenance schedules, and utilization to support operational efficiency
  • Supervise the work of event and fleet support staff
  • Conduct performance evaluations and coordinate training
  • Identify training needs and oversee staff development and mentoring
  • Implement hiring, discipline, and termination procedures as needed
  • Track operational data and prepare regular reports
  • Manage and administer budgets and expenditures related to events and fleet operations
  • Develop and maintain tracking systems for fleet usage, event metrics, and facility utilization
  • Prepare regular analytical reports for leadership on operational outcomes
  • Monitor and report on budget performance and resource allocation
  • Develop and monitor departmental budgets for events and fleet operations
  • Ensure fiscal responsibility and cost-effectiveness in all operations
