The role of Promotions/Special Events Coordinator at Yaamava Resort & Casino is crucial to the success of both on-site and off-site promotional activities and special events. Under the direction of the Supervisor of Promotions & Special Events, this position involves assisting in the development, creation, and execution of various marketing strategies designed to attract and engage guests. The coordinator takes on operational responsibilities during events, ensuring that every element runs smoothly from logistical planning to budget management. This role demands a highly organized individual capable of multitasking in a fast-paced environment, balanced with creative vision for designing compelling experiences.
The coordinator manages daily assignments by collaborating with management and employees across multiple departments to coordinate task completion and ensure event details are communicated effectively. Proficiency with Workfront software is used to keep all tasks on schedule. Budget oversight includes handling monthly accruals, vendor planning, invoice processing, and evaluating costs, which are crucial for the financial success of each promotion or event. Additionally, the coordinator maintains detailed records, manages inventories, and liaises with vendors and suppliers to secure necessary materials and services.
Another central responsibility is preparing and submitting contractual agreements and official rules for compliance with the Gaming Commission regulations, ensuring that all legal requirements are met without compromising the integrity or purpose of the events. The position also involves technical preparations, such as testing systems and equipment to uphold operational efficiency. Collaboration with internal marketing teams is vital for providing timely advertising support that aligns with the promotional objectives. Job Requirements
- Associate degree in marketing, communications, or related field
- Minimum one year of experience in casino promotions, special events, or similar field
- Must be able to clearly speak, read, and write in English
- Strong proficiency in Microsoft Office (Word, PowerPoint, and Excel)
- Familiar with general accounting or budget tracking procedures
- Must be detail-oriented and able to multi-task
- Must maintain good personal grooming and professional business manner
- Valid driver’s license with acceptable driving record
- May be required to obtain and maintain gaming license per San Manuel Tribal Gaming Commission discretion
- Must be able to work in a fast-paced, high-demand environment
- Ability to travel to meetings, trade shows, and conferences
- Must be able to work evening, weekend, and holiday shifts
- Physical ability to exert force up to 10 pounds occasionally and move up to 40 pounds occasionally
- Ability to stand, sit, walk, and operate office machinery
- Hearing and speech abilities sufficient for communication in person, via videoconference, and telephone
- Visual acuity for detailed work and inspection
- Mobility to travel safely and efficiently
Job Qualifications
- Associate degree in marketing, communications, or a related field
- Bachelor’s degree preferred
- Minimum one year of experience in casino promotions, special events, or a similar field required
- Minimum two years of experience preferred
- Strong proficiency in Microsoft Office (Word, PowerPoint, and Excel)
- Ability to clearly speak, read, and write in the English language
- Familiarity with general accounting or budget tracking procedures
- Ability to develop working knowledge of new software or gaming systems
- Detail-oriented with ability to multi-task
- Professional personal grooming and business manner
Job Duties
- Supports the logistics, planning, and coordination of on-site and off-site promotions and special events
- Manages daily assignments in collaboration with the Promotions and Special Events Manager using Workfront software by assigning and tracking tasks across departments and coordinating essential details for both on-site and off-site events
- Oversees budgets for designated events, handling monthly accruals, vendor planning, and invoice management while evaluating proposed costs and ensuring accuracy of financial documents
- Maintains organized records and project files for all assigned promotions and events, submits requisition requests and collaborates with Procurement to meet critical deadlines
- Communicates event details to all departments including planning site walks, floor plans, menus, decor concepts, staff training, and security requirements
- Serves as liaison between the department, vendors, and suppliers managing inventory and placing orders as needed
- Processes contractual agreements and Official Rules ensuring compliance with Gaming Commission regulations and securing timely approvals
- Tests technical systems and equipment prior to events to uphold operational efficiency and promotional integrity
- Collaborates with Brand Marketing, Strategic Marketing, Player Development, and Property Marketing to deliver timely advertising support for events and promotions
- Performs other duties as assigned to support efficient operation of the department
