The Project Coordinator, Venues position at Encore plays a critical role in ensuring the flawless planning and execution of events, whether small-scale or part of a larger production. This role involves close collaboration with sales and operations teams to develop and implement detailed event execution plans that meet client expectations and company standards. Reporting to a designated Venue Operations lead, the Project Coordinator is responsible for managing production schedules, coordinating labor, handling logistical details, and addressing client needs promptly and effectively.
In this role, the Project Coordinator will prepare and communicate detailed production and labor schedules, manage sub-rental requirements, and define project scope clearly to ensure efficient event setup and operation. Attending client meetings and maintaining organized show files help sustain a strong focus on client satisfaction. Additionally, the Project Coordinator reviews sales documents to confirm technical and equipment specifications align with client requirements, thus reinforcing the quality of the event delivery.
During event execution, this position involves proactive communication of execution plans and onsite adjustments, including billing and production schedules. The Project Coordinator collaborates with crew leads to review critical information, assists with equipment operation as qualified, and mentors team members to enhance their knowledge and skills in event execution best practices. These activities contribute directly to the successful and profitable delivery of events.
On the administrative side, the Project Coordinator aids Venue Operations leaders in completing the Event Production Tool (EPT) for post-event analysis, manages post-event processes including timesheet and invoice reviews, and supports identifying training opportunities for onsite and regional staff. Effective organizational skills and the ability to multitask in a dynamic environment are essential for success.
Physical demands include the ability to perform various activities such as sitting, standing, walking, stooping, crawling, and climbing. The role also requires handling audio-visual equipment and working in sometimes noisy environments both indoors and outdoors. Flexibility in work hours is necessary, as the job may include irregular hours, on-call status, weekends, evenings, and holidays.
The hourly pay range for this role is $22.90 to $29.77, with final compensation based on location, relevant experience, and skills. Additional compensation may include overtime, bonuses, or incentives. Job Duties
- Prepare and communicate production and labor schedules, sub-rental requirements, project scope and execution plan to lead crewmembers, vendors and venue
- Maintain focus on client needs by attending client meetings, creating and maintaining organized show files, and responding to client concerns, questions, and problems
- Review sales documents to confirm equipment and technical positions meet client needs
- Communicate event execution plan and on-site changes including billing, production schedules, and client requests
- Review all necessary information with crew leads to ensure a successful and profitable event
- Operate equipment and assist crew as necessary qualified
- Mentor Encore team members on event execution and best practices
- Assist venue operations leaders with completion and analysis of the EPT tool
- Process post-event items, including timesheet reviews, timely processing of invoices, and post-show reporting
- Work with venue operations leaders to identify training opportunities for onsite and regional workforce
