The position of Project Coordinator, Venues at Encore is a pivotal role designed to ensure the flawless planning and successful execution of events, whether small-scale or large, within the company's venue operations. This role reports to a designated Venue Operations leader and requires a dynamic individual capable of coordinating multiple moving parts of event logistics, production schedules, and client communications. As a Project Coordinator, Venues, you will collaborate closely with sales and operations teams to achieve profitable and smooth event outcomes by following Encore’s established Production Process and Technical Standards.

Your responsibilities will encompass preparing and distributing production and labor schedules, managing sub-rental requirements, outlining project scopes, and ensuring every crewmember and vendor understands their roles and timelines. You will serve as the client’s primary contact during the event planning phase, addressing inquiries and resolving concerns to uphold Encore’s customer service excellence. On the day of the events, you will transfer plans effectively to on-site teams, communicate any changes promptly, and assist crew members with equipment operation when qualified.

Beyond event management, you will participate in administrative tasks such as reviewing timesheets, processing invoices, and supporting post-event reporting. The role also includes mentoring team members to cultivate local expertise and improve operational training. This position demands strong technical acuity, exceptional communication skills, and the ability to perform well under pressure while multitasking effectively.

Encore offers competitive compensation for this hourly position, ranging from $29.77 to $38.70 per hour, depending on location, experience, and expertise. Additional compensation opportunities may include overtime pay, bonuses, or incentives. Job Duties

  • prepare and communicate production and labor schedules, sub-rental requirements, project scope, execution plan and individual responsibilities to lead crewmembers, vendors and venue
  • maintain focus on client needs by attending client meetings, creating and maintaining organized show files, and responding to client concerns, questions, and problems
  • review sales documents to confirm that the equipment and technical positions meet client’s needs
  • communicate event execution plan and on-site changes including billing, production schedules and client requests
  • review all necessary information with crew leads to ensure a successful and profitable event
  • operate equipment and assist crew as necessary or qualified
  • mentor Encore team members on event execution and best practices
  • assist Venue Operations leaders with completion and analysis of the EPT tool for events
  • process Encore post-event items including review of timesheets, timely processing of invoices and post-show reporting
  • work with Venue Operations leaders to identify training opportunities for onsite and regional workforce
