The Project Coordinator, Horticulture, reporting directly to the Manager of Horticulture, is a pivotal role responsible for the end-to-end execution of Seasonal Décor projects at Yaamava Resort and Casino. This position is central to ensuring that each horticultural project aligns with the departmental vision and operational standards. The role involves closely working with internal teams, external vendors, and third parties to guarantee timely, efficient, and budget-compliant project outcomes. The coordinator is tasked with organizing, administering, and monitoring projects using various project management and design software like Smart sheets, Excel, Photoshop, InDesign, and AutoCAD to maintain high levels of accuracy and presentation.

By developing project performance databases, tracking floral deliveries, orders, and event-related requirements, the Project Coordinator ensures seamless flow from project initiation through to completion. The role also requires creating visual renderings and reports to keep department leadership informed on the progress and success metrics of ongoing projects. The Project Coordinator must have a blend of project management skills, technical know-how, and interpersonal communication proficiency, enabling them to navigate both detailed administrative tasks and high-level strategic alignment. They are expected to work in a climate-controlled office environment with occasional travel to meetings, trade shows, and conferences. Flexibility to work evening, weekend, or holiday shifts is sometimes necessary to meet project demands.

In addition to overseeing projects, the position demands adherence to confidentiality policies, compliance with legal and regulatory requirements, and the ability to maintain a professional and personable demeanor. The coordinator needs the strength and stamina to perform some physical tasks, including lifting or moving objects up to 40 pounds occasionally, and must be able to operate vehicle transportation for company-related activities. Job Requirements

  • High school diploma or GED required
  • Minimum two years’ experience working as project management assistant or related capacity required
  • Must maintain confidentiality and comply with all legal and regulatory requirements
  • Must be personable and professional with discretion in communication
  • Valid driver’s license with an acceptable driving record
  • Ability to operate or drive Tribe-owned vehicles or patron vehicles
  • Must be able to work evening, weekend, and holiday shifts
  • Physical ability to occasionally lift up to 40 pounds
  • Must work in fast-paced, high-demand environment
  • Ability to travel to attend meetings, trade shows, and conferences

Job Qualifications

  • High school diploma or GED
  • Bachelor’s degree in business administration, horticulture, business management, or event management preferred
  • Minimum two years’ experience in project management or related capacity
  • Proficiency with project management software like Smart sheets and Excel
  • Experience with design software such as Photoshop, InDesign, and AutoCAD
  • Excellent listening, written, and verbal communication skills
  • Experience with event planning preferred

Job Duties

  • Execute the successful completion of horticulture projects
  • Coordinate internal resources and third parties and/or vendors for flawless execution of each seasonal décor project
  • Collaborate both internally and externally to guarantee efficient project completion
  • Develop and maintain project performance databases that track overall progress and accomplishment of specific milestones
  • Establish procedures and implement process improvement projects to support efficient project coordination
  • Track orders, floral deliveries, and special event needs to ensure projects are on-time and within budget
  • Prepare renderings and project designs via design software
  • Collect and report on key project metrics and dashboards as requested by department leadership
  • Perform other duties as assigned to support departmental operations
