The role of Project Coordinator, Venues at Encore is an integral position responsible for the detailed planning and successful execution of small events or components of larger events within venue settings such as hotels and convention centers. This position acts as the crucial link between the sales and operations teams, ensuring all aspects of event production are meticulously coordinated according to Encore's Production Process and Technical Standards. Reporting to the designated Venue Operations lead, the Project Coordinator, Venues manages production and labor schedules, oversees sub-rental requirements, defines project scope, and establishes clear execution plans. This individual is accountable for maintaining organized communication channels among lead crew members, vendors, venue staff, and clients, addressing client needs promptly through effective meeting attendance and problem resolution.

Additionally, the Project Coordinator, Venues will review sales documentation to confirm that the selected equipment and technical staffing align with client requirements, thereby ensuring technical precision and customer satisfaction. On the day of events, the role demands hands-on coordination, including communicating event execution plans, managing on-site updates such as billing changes or client requests, and working closely with crew leads to deliver profitable and seamless events. The coordinator may also operate equipment and assist crew members as needed, sharing expertise and mentoring team members to boost the local knowledge base and improve overall event delivery.

Administrative responsibilities form another vital component of this role, including assisting venue leaders with evaluating event performance through tools such as the EPT, processing post-event timesheets and invoices, and helping identify training opportunity areas for staff development. The position requires a robust technical background, operational logistics experience, and the ability to perform under pressure while juggling multiple tasks. Proficiency in Microsoft Office and the ability to read technical diagrams are highly preferred.

Physically, the role involves occupational demands like standing, walking, stooping, crawling, and occasional lifting and carrying of equipment up to 100 pounds. The work environment varies from office settings to active hotel or convention center locations, with exposure to diverse conditions such as noise, dust, and outdoor temperatures. Irregular hours including evenings, weekends, and holidays, and on-call status may be required, reflecting the dynamic nature of event production.

Job Duties

  • Prepare and communicate production and labor schedules sub-rental requirements project scope execution plan and individual responsibilities to lead crewmembers vendors and venue
  • Maintain focus on client needs by attending client meetings creating and maintaining organized show files and responding to client concerns questions and problems
  • Review sales documents to confirm that the equipment and technical positions meet client’s needs
  • Communicate event execution plan and on-site changes including billing production schedules and client requests
  • Review all necessary information with crew leads to ensure a successful and profitable event
  • Operate equipment and assist crew as necessary or qualified
  • Mentor Encore team members on event execution and best practices to help improve the local knowledge base and experience in the market
  • Assist venue operations leaders with completion and analysis of the EPT tool for events as necessary
  • Process Encore post-event items including review of timesheets timely processing of invoices and post-show reporting
  • Work with venue operations leaders to identify training opportunities for onsite and regional workforce
