The role of the Project Coordinator, Venues, is a critical position within Encore’s operations, responsible for the meticulous planning and successful execution of small events or segments of larger events. The position requires close collaboration with sales and operations teams to align event execution plans with client expectations and company standards. Reporting to a designated Venue Operations Lead, the Project Coordinator plays a key role in coordinating production schedules, labor assignments, equipment and sub-rental needs, and communication with various stakeholders including crew members, vendors, clients, and venue personnel. This role demands a high level of technical expertise in event technology, strong organizational skills, and the ability to manage multiple priorities in fast-paced environments.
As a Project Coordinator, Venues, the individual will be deeply involved in client interactions, attending meetings to understand and anticipate client needs, maintaining organized show files, and promptly addressing client concerns to ensure smooth event execution. The position also involves participating in the review of sales documents to verify that technical requirements are met and that event plans comply with both client expectations and Encore’s technical standards.
On event days, the Project Coordinator is responsible for communicating real-time updates and changes to the event execution plan, coordinating billing, and managing production schedules to guarantee profitable outcomes and client satisfaction. This includes direct involvement with crew leads to ensure all event aspects are aligned and functioning efficiently. Additionally, the role may require hands-on support in operating equipment and mentoring fellow Encore team members to enhance technical knowledge and execution best practices.
Beyond event planning and execution, the Project Coordinator assists with administrative duties such as processing post-event documentation, reviewing timesheets, managing invoices, and contributing to post-show reporting efforts. The role also supports identifying and delivering training opportunities to develop the skills of the onsite and regional workforce.
This full-time position offers an hourly pay range of $25.19 to $32.75, with final compensation determined by factors including location, experience, travel requirements, and skills. Job Duties
- Prepare and communicate production and labor schedules, sub-rental requirements, project scope, execution plan and individual responsibilities to lead crewmembers, vendors and venue
- Maintain focus on client needs by attending client meetings, creating and maintaining organized show files, and responding to client concerns, questions, and problems
- Review sales documents to confirm that the equipment and technical positions meet client’s needs
- Communicate event execution plan and on-site changes including billing, production schedules and client requests
- Review all necessary information with crew leads to ensure a successful and profitable event
- Operate equipment and assist crew as necessary/qualified
- Mentor Encore Team Members on event execution and best practices to help improve the local knowledge base and experience in the market
- Assist Venue Operations leaders with completion and analysis of the EPT tool for events as necessary
- Process Encore post-event items, including review of timesheets, timely processing of invoices and post-show reporting
- Work with Venue Operations leaders to identify training opportunities for onsite and regional workforce
