Job Description
Kilowatt Events, Inc. (KWE) is a distinguished woman-owned live event production company specializing in the creation and operation of temporary event venues, custom brand activations, and turnkey fan experience programs. The company is currently seeking a full-time, non-exempt Project Coordinator to join its San Diego office with a hybrid work schedule consisting of two days in-office and remote work for the remainder of the week. This contract role offers exposure to premium sports events with project-related travel, including assignments for the 2027 NFL Draft in Washington, D.C., and the 2027 Super Bowl host city. The Project Coordinator will report directly to the President of Kilowatt Events, Inc., and play an essential role in delivering high-quality event experiences and supporting ongoing organizational projects and internal operations.
This role requires a versatile professional adept at administrative support, event planning, and project coordination. The Project Coordinator will manage advance planning, logistics coordination, and assist in on-site execution of flagship NFL events such as the NFL Draft and Super Bowl. Responsibilities also include handling day-to-day administrative duties like calendar management, travel booking, correspondence, meeting prep, and follow-ups to ensure smooth leadership operations. Key functions involve liaising with vendors, clients, and internal teams to maintain effective communication and timely delivery of project milestones.
The Project Coordinator will oversee multiple concurrent projects, maintaining organized project documentation and tracking critical action items. Participation in site visits, surveys, venue walkthroughs, and pre-event meetings is expected, requiring detailed note-taking and distribution of action items. During event execution, this individual will facilitate logistics, support load-in/load-out processes, and serve as a vital liaison between production teams, vendors, and other stakeholders.
The ideal candidate possesses over two years of experience in event coordination, project support, or executive administrative roles, preferably within live sports events. Proficiency in Microsoft Office applications and familiarity with project management software are important for success. The role demands exceptional organizational skills, strong written and verbal communication abilities, and the capacity to multitask effectively in a fast-paced environment. Physical requirements include the ability to lift up to 50 pounds, and professional references are required.

Job Requirements

- 2+ years of experience in event coordination, project support or executive administrative roles

Job Qualifications

Job Duties
- Support the President in advance planning, logistics coordination, and on-site execution for the 2027 NFL Draft and 2027 Super Bowl, including tracking deliverables, managing timelines, and serving as a point of contact for vendors and stakeholders
- Provide day-to-day administrative support to the President, including calendar management, travel arrangements, correspondence, meeting preparation, and follow-up
- Assist with coordination and project management across additional events and company initiatives as assigned, including tracking action items, maintaining project documents, and keeping stakeholders informed of progress
- Organize and maintain internal files, records, contracts, and documents to support efficient operations across multiple projects simultaneously
- Coordinate with internal team members, vendors, contractors, and clients on behalf of the President, ensuring timely communication and accurate information flow
- Attend and support site surveys, venue walkthroughs, and pre-event planning meetings, preparing notes and action items for distribution
- Schedule meetings both virtually and in-person and help prep materials and agendas needed
- Support client, staff and vendor gifting programs
- Provide on-site coordination support during events, including managing logistics, supporting load-in/load-out, and serving as a liaison between production teams
- Support other special projects and initiatives as directed by the President
