The professional staff position of Project Coordinator within the College of Nursing Administration at UAMS is a critical role designed for candidates seeking a stable, regular employment opportunity in project and program administration. The Project Coordinator acts as an operational partner delivering excellent service to faculty, staff, alumni, donors, official guests, and site visitors, thereby enhancing the overall effectiveness and reputation of the college.

As a Project Coordinator, the successful candidate will manage the full lifecycle of college events and programs, from initial planning through execution and post-event evaluation. Key responsibilities include organizing conferences, official visits, and special programs, negotiating and maintaining vendor relationships, overseeing budgeting and procurement processes, as well as ensuring compliance with institutional and state policies. The role also involves high-volume travel arrangement oversight, including reimbursement processing for multiple stakeholders. This position requires exceptional organizational skills, a high level of computer proficiency (particularly in MS Word, Excel, and PowerPoint), and the ability to multi-task efficiently in a dynamic, fast-paced academic healthcare setting.

Job Requirements

  • High school diploma or equivalent
  • Minimum 4 years of experience in administrative office support
  • Experience in travel and procurement support in medical or hospital settings
  • Proficiency in MS Word, Excel, and PowerPoint
  • Strong organizational skills and multitasking ability
  • Adaptability to fast-paced and changing environments
  • Legal authorization to work in the United States
  • Ability to undergo and pass criminal background check

Job Qualifications

  • High school diploma plus 4 years' experience in administrative office support in an office setting or equivalent
  • Travel and/or procurement support experience in a medical or hospital setting
  • Extensive computer skills in MS Word, Excel, and PowerPoint
  • High level organizational skills and ability to multi-task in a fast-paced environment
  • Ability to adapt well to change
  • Travel and procurement experience and 4 years general administrative office support

Job Duties

  • Coordinate and execute college events, conferences, meetings, and special programs from planning through completion
  • Manage event budgets, purchasing requests, invoices, contracts, and financial reconciliations
  • Coordinate travel arrangements and reimbursement processing for faculty, staff, guests, and visitors
  • Ensure compliance with UAMS, state, and departmental policies related to travel, procurement, and financial transactions
  • Serve as a liaison with vendors, campus departments, and external stakeholders
  • Prepare financial reports, budget summaries, and post-event analyses
  • Maintain accurate records and documentation for travel, procurement, and event-related activities
  • Provide exceptional customer service and administrative support to faculty, staff, alumni, donors, and visitors
  • Identify opportunities for process improvement and operational efficiencies
  • Perform other duties as assigned in support of College of Nursing operations
