Job Description
The American String Teachers Association (ASTA) is a well-established nonprofit organization dedicated to supporting string music educators and advancing string education across the United States. Founded with a focus on enhancing the professional development of string teachers and ensuring high-quality music instruction, ASTA orchestrates a wide range of programs and events throughout the year, including conferences, festivals, summits, and webinars. These events are designed to foster community, innovation, and educational excellence within the string teaching profession.
ASTA is currently seeking a diligent and resourceful Programs Coordinator to join their team in a remote, hourly, non-exempt position. This position reports directly to the Deputy Executive Director and involves approximately 20 hours per week with flexibility in scheduling, including heavier workloads during peak event periods such as the National Conference, National Orchestra Festival, and the Virtual String Teachers Summit. During major events and their preparation weeks, working hours may increase to over 40 hours, with overtime compensated according to ASTA’s policies.
The Programs Coordinator will play a pivotal role in supporting the execution and management of ASTA’s professional development and member engagement programs. This individual will bring exceptional project management expertise and a proactive, hands-on approach to production and logistics across multiple key events and year-round initiatives. Key responsibilities include managing vendor relationships, coordinating exhibit hall operations, handling equipment logistics, facilitating communication with presenters and volunteers, and overseeing smooth execution both onsite and virtually.
A critical aspect of the role involves managing logistics for the National Conference and National Orchestra Festival, where the Coordinator will serve as the Exhibit Hall Manager, directly interfacing with vendors and exhibitors to ensure seamless setup, operation, and takedown. Equipment coordination is also essential, involving the management of audio-visual, staging, and other physical resources necessary for high-quality event experiences.
In addition to in-person event management, the Programs Coordinator will have significant responsibilities related to the Virtual String Teachers Summit, including managing Calls for Proposals, coordinating presenter communications, and supporting virtual event platforms and content management. Year-round, the Coordinator will assist with planning and producing webinars, liaise with national committees by managing application processes, and maintain essential administrative systems including the job board and website updates.
The ideal candidate will have at least two years of experience with large-scale event production or program coordination, preferably in the music or nonprofit sectors. They will demonstrate strong skills in time and project management, communicating effectively across diverse stakeholder groups, and managing AV technology and virtual meeting platforms. Critical to success will be the ability to juggle multiple priorities during high-pressure live events and maintain high standards of organization and communication.
This remote position requires reliable home office technology and high-speed internet, as well as the flexibility to travel to ASTA’s major live events approximately once per year. The position offers competitive hourly compensation at $30 per hour, with opportunities for overtime pay during peak workload periods. Job Qualifications
- 2+ years of experience with large scale events in event production, program coordination, or conference logistics
- demonstrated experience with conference AV/equipment logistics and vendor coordination
- strong project and time management skills
- ability to prioritize and triage during live events
- comfortable with virtual event platforms such as Zoom and basic AV technology
- excellent written and verbal communication skills
- association or nonprofit experience preferred
- experience in music industry or music education preferred
Job Duties
- Manage relationships with external service vendors including exhibit hall decorator, Soundwaves, and photography vendors
- Coordinate timelines, deliverables, and on-site needs for event production
- Serve as Exhibit Hall Manager for the National Conference, overseeing operations, opening and closing procedures, venue coordination, and troubleshooting
- Coordinate shipping and freight logistics for staff materials and exhibitor deliveries
- Manage equipment logistics and inventory for conference sessions, masterclasses, and the National Orchestra Festival including audio/visual, staging, chairs, stands, microphones, instrument storage, and rentals
- Coordinate with hotels, AV vendors, venue staff, vendors, and stage managers to schedule load-in/load-out and ensure smooth session transitions
- Facilitate and supervise onsite setup and troubleshooting for sessions, rehearsals, and performances
- Maintain and update equipment checklists, run sheets, and floor plans, and manage emergency equipment spares
- Serve as primary onsite logistics contact for Conference and Festival staff
- Manage Calls for Proposals for Virtual String Teachers Summit including intake, review, communication, and scheduling
- Coordinate presenter communications including orientation, logistics, materials collection, and tech checks
- Maintain program calendars, session databases, and post-event evaluation summaries for virtual events
- Coordinate virtual event platforms, recording, and AV needs
- Provide basic content support including uploading session materials to LMS/website and ensuring recordings processing and accessibility
- Support planning and producing webinars including scheduling, registration, hosting/moderating, live tech support, and post-event recording distribution
- Coordinate national committees application processes, reviews, and notifications
- Assist as Staff Liaison for national committees
- Manage weekly job board activities
- Carry out annual projects such as website updates, database deduplication, and member data verification
- Provide flexible, team-oriented support across programs and events as assigned
