The Program Operations Manager role is a pivotal position within the university, specifically aligned with its Leadership Institute, Center for Family Business, and Entrepreneurship Through Acquisition initiatives. This role is designed to create and maintain the operational infrastructure necessary to support the continued growth and sustainable success of these prominent centers. The Program Operations Manager serves as the operational backbone, ensuring that all program-related activities, communications, systems, and processes are managed effectively and consistently. This allows center leadership to focus on strategic priorities such as external engagement, partnership development, fundraising, and growth initiatives.

The successful candidate will be an independent, highly organized, and proactive professional capable of managing multiple priorities simultaneously with minimal supervision. They will exercise strong judgment and ownership in driving projects to completion while maintaining a high standard of quality and professionalism. Working in a fast-paced and evolving environment, the Program Operations Manager will be expected to identify opportunities for operational improvements, streamline workflows, implement scalable solutions, and leverage technology, including artificial intelligence tools, to enhance productivity.

This position involves coordinating a wide range of program elements including planning and executing events, workshops, forums, speaker series, and advisory board meetings. The Manager will also handle stakeholder communications, marketing activities, financial processes, and administrative support, ensuring seamless program delivery and excellent participant experiences. Collaboration is key, as the role requires extensive interaction with university leadership, faculty, students, external partners, sponsors, and vendors.

The compensation for this hourly position starts at $20.68, with pay commensurate with qualifications, experience, and budget considerations. Job Qualifications

  • High school education and 5 years of work experience or Bachelor’s degree and 1 year of work experience in program management, event management, operations, hospitality management, customer service, nonprofit administration, higher education administration, project coordination, or related field
  • Demonstrated ability to take ownership of projects and drive work to completion with limited direction
  • Strong organizational, prioritization, and project management skills

Job Duties

  • Lead program operations and delivery
  • Manage the planning, coordination, execution, and evaluation of programs and events
  • Develop and maintain project plans, timelines, communications, registration processes, participant materials, and logistical arrangements
  • Coordinate facilities, technology, vendors, travel, catering, and event operations
  • Monitor program outcomes and recommend improvements
  • Create operational capacity for center leadership by managing administrative processes, stakeholder communications, scheduling, reporting, and follow-up activities
  • Serve as a primary operational point of contact for participants, sponsors, alumni, faculty, and community partners
  • Build systems and improve processes through standardized procedures, templates, workflows, reporting tools, databases, and knowledge management resources
  • Evaluate and utilize technology solutions including AI-enabled tools
  • Coordinate center communications and marketing activities
  • Maintain websites, participant communications, stakeholder databases, marketing materials, and social media content
  • Manage operational financial processes including purchasing, invoicing, budget tracking, expense reconciliation, reporting, and financial record maintenance
  • Monitor expenditures and ensure compliance with university policies
  • Perform other duties as assigned
