The Herbert Wertheim College of Medicine at FIU is currently seeking a dedicated and experienced Program Manager for Graduate Medical Education (GME) to join the professional team based at Baptist Hospital Miami. This position plays a pivotal role in managing the day-to-day operations of multiple residency programs or one large program by overseeing all non-clinical aspects such as program administration, finance, recruitment, trainee credentialing, and supervising program staff. The Program Manager works closely with the Program Director to ensure compliance with the Accreditation Council for Graduate Medical Education (ACGME) standards, providing expert guidance and interpretation of specialty requirements to maintain program accreditation.
This role involves collaborating with the Program Director to develop and manage the residency program budget, including reconciling monthly expenses, tracking accruals, and handling reimbursements for employees and faculty. The Program Manager builds and implements systems for financial data analysis and provides actionable recommendations based on these findings. Responsible for coordinating the annual recruitment process, the manager ensures the smooth execution of applicant filtering, interview scheduling, and rank-order meetings.
In managing accreditation site visits, this position requires verification of all necessary documentation, submission of forms, active participation during site visits, and handling action plans in response to any citations. The Program Manager also plays a critical role in evaluating trainees by providing comprehensive and objective reviews based on multiple data sources to support trainee development. Additionally, this position involves creating reports on trainee milestones and duty hours, analyzing and presenting data to program leadership, and suggesting improvements that, upon approval, are implemented to enhance program quality.
Attention to detail in maintaining accurate trainee schedules and records concerning rotations, procedure logs, evaluations, duty hours, and leave is essential to ensure compliance and accurate reporting through residency management software. The Program Manager supports retention strategies for post-residency employment opportunities and manages relations with teaching faculty, attending physicians, trainees, medical students, and various institutional and regulatory offices at multiple levels.
Furthermore, the role includes direct supervision and mentorship of program assistants and administrators, fostering employee development and assisting in goal setting. This position may include other related duties as assigned, ensuring flexibility and responsiveness to institutional needs. Job Requirements
- Bachelor's degree in an appropriate specialization
- Four years of related experience, or Master's degree in an appropriate specialization and two years related experience

- Plays a crucial role in the evaluation process of trainees by providing an objective and comprehensive review of each trainee's performance based on multiple sources of data
- In collaboration with the Program Director, develops new procedures in response to new or revised policies/requirements issued by governing or accrediting agencies
- Develops and creates trainee and program reports for areas including milestones and duty hours
- Analyzes and presents findings to Program leadership
- Makes suggestions for improvement, and upon approval from the Program Director, implements those changes
- Ensures the program maintains accurate records of the trainee schedule and experience including rotations, procedure logs, evaluations, duty hours, leave and paid time off to ensure accurate reporting through the residency management software and Intern and Resident Information System (IRIS)
- Works closely with the Program Director to identify viable candidates and executes retention strategies for post-residency employment opportunities
- Manages internal and external program relations between teaching faculty, attending physicians, medical trainees, medical students and institutional and regulatory administrative offices at the local, regional and national level
- Provides direct supervision of program assistants and administrators including providing mentorship, employee development, and goal setting
- Performs other related duties as required or directed
