Job Requirements

  • College degree
  • minimum 5 years of experience in life science meetings management
  • proficiency in Cvent and Microsoft Office
  • experience with vendor management and contract negotiation
  • strong communication and organizational skills
  • ability to work virtually on Eastern Standard Time
  • willingness to travel up to 25 percent annually
  • knowledge of compliance and corporate event guidelines

Job Qualifications

  • At least 5 years of life science meetings management experience especially with HCP programs
  • experience supporting meetings connected to a congress or convention as well as standalone programs
  • strong background in vendor management sourcing and contract negotiation
  • previous experience with participant attendee management travel planning or destination knowledge
  • college degree
  • Cvent event certification
  • ability to work virtually

Job Duties

  • Manage life science meetings from kickoff to reconciliation including budgets attendee coordination logistics food and beverage room setups and technology needs
  • build strong relationships with clients suppliers and internal teams while keeping communication clear proactive and professional
  • navigate compliance requirements maintaining audit-ready documentation and following corporate guidelines and procedures
  • use Cvent and Microsoft Office to manage attendee data reporting registration communications and shared project materials accurately
  • negotiate supplier contracts coordinate vendors and solve issues quickly to keep programs on track
  • coordinate speaker travel and accommodations
  • ensure timely execution of event timelines and deliverables
