Job Description
Big Brothers Big Sisters Twin Cities (BBBSTC) is a renowned nonprofit organization with over 100 years of experience dedicated to fostering impactful youth mentoring relationships across the Twin Cities. The organization has partnered with more than half a million young people, providing them sustained mentorship and guidance that supports their developmental journey and helps them achieve their full potential. BBBSTC engages youth by connecting them with committed adult mentors known as "Bigs," offers resources to both mentors and mentees ("Littles"), and creates pathways to educational, career, and social opportunities. The Program Events Coordinator role is a vital position within the Big Futures Team at BBBSTC, supporting the Manager of Program Events. This dynamic role focuses on developing and executing engaging and high-quality programming and events for youth, families, and volunteers that promote connection, belonging, and growth. The coordinator is responsible for planning and facilitating regular monthly match activities that bring together youth and mentors, including evenings and weekends. This involves managing supplies, budgets, staffing logistics, setup and teardown duties, and participant communications. Additionally, the role oversees agency-wide large-scale events, ensuring smooth operations and an inclusive, welcoming atmosphere that fosters satisfaction and engagement among program participants.
The coordinator will work closely across departments—including Marketing & Communications—to manage event registration systems, participant outreach, and maintain programming calendars and trackers. A key part of the role is managing BBBS Twin Cities' ticketing and giveaway programs, coordinating community discount listings, and cultivating new partnerships to expand resources available to participants. The position also supports strategic initiatives such as college and career readiness, STEM programs, recruitment, and collaborates on special projects funded by grants and corporate volunteers.
The role demands strong organizational, communication, and interpersonal skills for collaborating with internal teams and external community leaders, donors, and corporate volunteers. Candidates must be comfortable working a flexible schedule with evening and weekend hours (expect 3-6 events per month) and have reliable transportation for travel around the Twin Cities. The work environment is hybrid but requires full in-office presence in Minneapolis for regular operations and community engagement activities.

Job Requirements
- Bachelor's degree or high school diploma or GED with at least four years of experience in special event coordination preferably youth programming
- At least three years of experience in special event planning
- Valid driver's license
- Reliable transportation for work
- Ability to work flexible schedule including evenings and weekends
- Ability to lift and transport 40 to 50 pounds
- Excellent communication skills
- Ability to manage multiple projects
- Experience with confidential information
- Commitment to diversity equity and inclusion
- Experience working with diverse populations
Job Qualifications
- Bachelor's degree or high school diploma or GED with at least four years of experience in special event coordination preferably youth programming
- At least three years of experience in special event planning
- Must possess valid driver's license and reliable transportation
- Experience managing apps social media and non-traditional communication preferred
- Previous experience working with high-profile stakeholders including donors volunteers board and committee members and community leaders preferred
- Experience working in youth programming
- Previous experience in Eventbrite Canva and Salesforce preferred
- Demonstrated ability to plan prepare and carry out high quality events under tight timeframes
- Collaborative work style with strong interpersonal skills
- Excellent verbal and written communication skills
- Ability to manage multiple projects and priorities with a commitment to quality and results
- Experience handling confidential and sensitive information
- Ability to work flexible schedule including evenings and weekends often with short notice

Job Duties
- Plan lead and facilitate regular monthly match activities for youth and mentors including evenings and weekends
- Coordinate supplies manage event budget oversee setup and teardown ensuring smooth participant experience
- Coordinate staffing logistics maintain agency activity calendars manage programming tracker documents
- Lead planning and execution of large-scale agency events for youth mentors and families
- Manage event registration systems and participant communications in collaboration with program and marketing teams
- Create welcoming inclusive environments fostering belonging and participant satisfaction
- Train and prepare staff on event logistics customer service and best practices for participant-centered programming
- Collect and utilize participant feedback to inform continuous program improvement
- Maintain accurate attendance records gather participant data and share updates with teams
- Lead implementation of assigned projects and contribute to additional initiatives as requested
- Support execution of high-profile partnerships and events with organizations such as Minnesota Vikings Timberwolves and Lynx
- Plan and manage special initiatives aligned with college career readiness STEM recruitment and other strategic focus areas
- Provide high-quality customer service to community leaders donors and corporate volunteers
- Coordinate with Marketing and Communications to support participant outreach via email newsletters social media and other tools
- Manage agency ticketing and giveaway processes ensuring equitable distribution
- Maintain and update list of community discounts proactively cultivate new partnership opportunities
- Support organization and maintenance of shared program resources including Free Arts storage and calendar systems
- Maintain knowledge of community needs resources and networks
- Communicate professionally with internal and external constituents
- Work collaboratively to achieve results as specified in the strategic plan
- Promote teamwork through participation in work groups and interdepartmental meetings
- Positively represent BBBS in the community
