Job Description
Big Brothers Big Sisters Twin Cities is a leading nonprofit organization dedicated to creating and supporting youth mentoring relationships. The Program Events Coordinator is an essential role within the Big Futures Team at BBBSTC, responsible for supporting the Manager of Program Events in delivering engaging, high-quality program activities and events. This position emphasizes participant-centered experiences that foster belonging and build meaningful relationships among youth, families, mentors, and volunteers. The coordinator will manage the planning, logistics, and execution of regular match activities, large-scale events, and special initiatives aligned with key strategic focus areas such as college and career readiness and STEM. Responsibilities include coordinating supplies and event budgets, overseeing registrations and communication, managing ticketing and discounts, and collaborating with internal teams as well as external community partners like the Minnesota Vikings, Timberwolves, and Lynx.
The position requires working a flexible schedule that includes evening and weekend hours regularly, as well as being physically active in setting up and breaking down event materials. The coordinator plays a critical role in maintaining strong community connections, ensuring timely and equitable access to resources, and gathering participant feedback for continuous program improvement. This position offers an hourly wage range of $22.60-$24.51 and is full-time and non-exempt with a full in-office requirement at their Minneapolis, MN location. Job Requirements
- Bachelor’s degree or high school diploma or GED with four years special event coordination experience
- Minimum three years experience in special event planning
- Valid driver’s license and reliable transportation
- Ability to work flexible schedule including evenings weekends and holidays
- Ability to lift and carry up to 50 pounds
- Ability to stand and walk for extended periods
- Strong interpersonal and communication skills
- Experience working with diverse populations
- Commitment to an inclusive and equitable environment
Job Qualifications
- Bachelor’s degree preferred or high school diploma with four years special event coordination experience
- At least three years of special event planning experience
- Experience with managing apps social media and non-traditional communication preferred
- Experience working with high profile stakeholders including donors volunteers board and community leaders
- Previous youth programming experience preferred
- Experience with Eventbrite Canva and Salesforce preferred
- Demonstrated ability to plan prepare and carry out high quality events under tight timeframes
- Collaborative work style with strong interpersonal skills
- Excellent verbal and written communication skills
- Ability to manage multiple projects and priorities effectively
- Experience handling confidential and sensitive information
- Commitment to justice diversity equity and inclusion
Job Duties
- Plan lead and facilitate regular monthly match activities for youth and mentors including evenings and weekends
- Coordinate supplies and manage event budget
- Oversee setup and teardown to ensure smooth participant experiences
- Manage event registration systems and participant communications
- Lead planning and execution of large-scale agency events
- Create welcoming inclusive environments that foster belonging
- Train staff on event logistics and best practices
- Collect and utilize participant feedback for program improvement
- Maintain participant data and attendance records
- Manage tickets discounts and special donations
- Support execution of high-profile partnerships and events
- Plan and manage special initiatives aligned with strategic focus areas
- Provide customer service to community leaders donors and volunteers
- Coordinate participant outreach via email newsletters social media and other communications
- Manage agency ticketing and giveaway processes ensuring equitable access
- Maintain and update list of community discounts and partnership opportunities
- Organize and maintain shared program resources
- Support agency-wide events and initiatives
- Communicate professionally and work collaboratively to achieve agency goals
- Handle data securely and maintain participant privacy
