The Program Coordinator role at the Center for Executive Development is a vital position that offers opportunities for both Program Coordinator I and Program Coordinator II levels. Responsibilities include coordinating logistics for programs held virtually, in-person, or in hybrid formats; managing vendor relations; assisting with orientation, events, and training materials; overseeing participant scheduling and transportation; and providing critical support to faculty and staff. The position also involves ensuring compliance with safety policies, budget management, and employing customer relationship management tools to streamline operations and improve services.

Job Requirements

  • Bachelor’s degree or equivalent combination of education and experience
  • 2 years of administrative, program, or event coordination experience for Program Coordinator I
  • 4 years of project management, event coordination, or program administration experience for Program Coordinator II

Job Qualifications

  • experience with Microsoft Office Suite, Adobe Creative Suite, and registration software

  • supervisory experience for Program Coordinator II
  • experience working with high-level executives and industry professionals for Program Coordinator II
  • knowledge of HubSpot, Monday.com, and Canva preferred

Job Duties

  • Serve as primary point of contact for vendors
  • schedule participant transportation daily
  • arrange and implement orientation and banquet/program evening events
  • arrange catering of meals including breakfast, lunch, and some dinners
  • schedule group photos
  • reserve hotel rooms for participants
  • submit all vendor invoices
  • assist in other programs as needed including early mornings, evenings, weekends, or overnight travel
  • assist with coordination of designated CED programs including scheduling dates and hours
  • assist logistical activities for virtual, in-person, or hybrid programs
  • create user accounts and train faculty for virtual sessions
  • verify and manage program expenses and budgets
  • assist with program orientation including speaking engagements
  • ensure safety and health policy compliance
  • develop and maintain relationships with clients, faculty, vendors, and staff
  • manage training site and program logistics
  • utilize CRM tools for program coordination
  • coordinate administrative supply orders
  • maintain and update program planning calendar
  • assist in training and assigning projects to student workers
  • coordinate class schedules and curriculum with faculty
  • ensure adequacy of presentation materials and training aids
  • schedule and coordinate participant and team activities
  • provide timely feedback to presenters
  • communicate with participants regarding seminars
  • assist with executive or prospective student visits
  • act as backup to executive assistant and administrative associate as needed
