The Program Coordinator positions at the Center for Executive Development invite highly motivated, service-minded, and collaborative individuals to join their team. These roles are essential in creating exceptional program and event experiences while supporting the logistical and operational functions that contribute to the success of the center's offerings. Program Coordinators act as the backbone in managing event coordination, vendor relationships, participant logistics, program follow-up, and various administrative tasks that ensure seamless execution of executive education programs.

Candidates for these positions must exhibit strong organizational and time management skills, the ability to handle multiple projects simultaneously, and a tech-savvy mindset to manage CRM tools, virtual program platforms, and administrative systems. This role requires excellent verbal and written communication skills to build meaningful relationships with clients, participants, faculty, vendors, and colleagues. Compensation is commensurate, with salaries ranging from $50,000 to $60,000 annually depending on experience and role level. Job Requirements

  • Bachelor's degree or equivalent combination of education and experience
  • Minimum 2 years related experience for Program Coordinator I
  • Minimum 4 years related experience for Program Coordinator II
  • Proficiency in Microsoft Office Suite and Adobe Creative Suite
  • Ability to obtain a State of Texas class "C" vehicle operator's license within 30 days of employment
  • Ability to manage multiple projects within deadlines
  • Strong communication and interpersonal skills
  • Willingness to work beyond normal business hours including evenings, weekends, and occasional travel
  • Ability to adapt rapidly to changing situations
  • Strong attention to detail
  • Commitment to professional conduct in a fast-paced, multi-dimensional work environment

Job Qualifications

  • Bachelor's degree or equivalent combination of education and experience
  • 2 years of administrative, program or event coordination experience for Program Coordinator I
  • 4 years of project management, event coordination, or program administration experience for Program Coordinator II
  • Experience with Microsoft Office Suite and Adobe Creative Suite
  • Familiarity with registration software
  • Ability to communicate effectively and professionally with industry professionals
  • Experience in hospitality, catering, or customer service
  • Strong organizational and time management skills
  • Ability to manage multiple projects under deadlines
  • Proficient in spreadsheet, database, and presentation software
  • Ability to work cooperatively in a fast-paced environment
  • Supervisory experience preferred for Program Coordinator II
  • Experience with HubSpot, Monday.com, and Canva preferred for Program Coordinator II
  • Experience working with high-level executives and industry professionals preferred for Program Coordinator II

Job Duties

  • Serve as primary point of contact for vendors
  • Schedule participant transportation to and from venues
  • Arrange and implement orientations and banquet or program evening events
  • Arrange catering of meals including breakfast, lunch, and dinners
  • Reserve hotel rooms for participants and submit vendor invoices
  • Assist with coordination of designated CED programs including virtual, in-person, and hybrid formats
  • Create user accounts and train faculty on virtual program platforms
  • Verify program expenses align with budget and report discrepancies
  • Develop and maintain relationships with clients, faculty, vendors, and center staff
  • Coordinate logistics and program operations using CRM tools
  • Order supplies for CED and maintain program planning calendar
  • Assist in training and assigning projects to student workers
  • Coordinate curriculum and class schedules with faculty and staff
  • Assemble training materials and presentation aids
  • Provide timely feedback to presenters for quality assurance
  • Communicate with participants regarding program evaluations
  • Assist with coordinating executive or prospective student visits
  • Act as backup to Executive Assistant and Administrative Associate when needed
