The Center for Executive Development (CED) within Mays Business School focuses on executive education programs designed to cultivate ethical leadership. The Program Coordinator role at CED offers dynamic opportunities for individuals passionate about learning, development, and creating exceptional program experiences. The positions available include Program Coordinator I and Program Coordinator II, both service-oriented roles requiring strong collaboration skills, organizational abilities, and a tech-savvy approach. Successful candidates will thrive in a fast-paced, multi-dimensional environment where they coordinate a range of activities including event management, program administration, and client relationship building. These roles demand proficiency in handling logistics for events that may be virtual, in-person, or hybrid, ensuring seamless program execution and participant satisfaction.

Candidates will be involved with vendor coordination, scheduling, catering, transportation logistics, participant and instructor coordination, and operational support such as ordering supplies and maintaining program calendars. They will also engage in program follow-up activities by providing feedback to presenters and managing budgets to ensure financial compliance. The roles include some travel requirements and may necessitate working beyond standard business hours, including weekends.

Program Coordinator I requires a bachelor’s degree or an equivalent combination of experience and education, with at least two years of administrative or program coordination experience. Preferred skills include familiarity with Microsoft Office Suite, Adobe Creative Suite, and registration software, along with a valid Texas Class C driver’s license or the ability to obtain one. Candidates should demonstrate excellent communication skills, strong organizational aptitude, and the ability to manage multiple projects under tight deadlines.

Program Coordinator II requires a bachelor’s degree with a minimum of four years of related experience, preferably with supervisory responsibilities. Candidates experienced in project management and event coordination using tools like HubSpot, Monday.com, and Canva are highly desirable. The ideal candidate adapts quickly to changing situations, effectively communicates with high-level executives and professionals, and maintains professionalism under pressure.

Job Requirements

  • Bachelor's degree or equivalent combination of education and experience
  • Two years' experience in program or event coordination for Program Coordinator I, four years for Program Coordinator II
  • Ability to manage multiple projects and meet deadlines
  • Strong organizational, time management, and communication skills
  • Proficiency with Microsoft Office Suite and other software tools
  • Ability to travel and work beyond normal business hours including weekends
  • Valid Texas Class C driver’s license or ability to obtain within 30 days
  • Professional demeanor and ability to work cooperatively in a team environment

Job Qualifications

Job Duties

  • Coordinate vendor relationships and schedules
  • Arrange participant transportation and accommodations
  • Manage catering and event logistics including banquets and orientation
  • Assist with virtual and in-person program logistics
  • Create and manage user accounts and training for faculty
  • Monitor program budget compliance and report discrepancies
  • Maintain program planning calendar and supply orders
  • Coordinate curriculum and training materials with instructors
  • Train and assign projects to student workers
  • Provide feedback and communicate with program presenters and participants
  • Support office activities including prospective visitor coordination and acting as backup for administrative roles
