Job Description

Brandeis University is a renowned private research university located in Waltham, Massachusetts. Known for its commitment to rigorous academics, social justice, and fostering a diverse and inclusive community, Brandeis University offers a vibrant intellectual environment for students, faculty, and staff. Within the university, the Jewish Studies Centers hold a special place to nurture scholarship, education, and research on Jewish life and culture. The Hadassah-Brandeis Institute on Jewish Women’s and Gender Studies (HBI) and the Mandel Center for Studies in Jewish Education are two such prestigious centers devoted to advancing knowledge in their respective fields. Both centers support innovative research and programming that enrich the academic and cultural landscape of Brandeis and the wider community.

The Program Coordinator position is an integral administrative role supporting these two distinguished centers at Brandeis University. This full-time, hourly role, with an annualized salary range of $47,500 to $59,200, offers an opportunity to contribute to groundbreaking research and educational programming related to Jewish women's experiences, gender studies, and Jewish education scholarship. The Program Coordinator will primarily provide logistical and administrative support for a variety of activities ranging from organizing events to managing research awards programs, ensuring seamless operations for both the Hadassah-Brandeis Institute and the Mandel Center.

Key responsibilities include coordinating complex event logistics for both in-person and virtual formats such as Zoom, liaising with event speakers, managing registrations, catering, and technical setups, as well as overseeing event documentation like run-of-show schedules and coordinating accessible services. The role also entails managing the HBI Research Awards Program by administering application processes, communicating with stakeholders, and assisting with donor stewardship. General administrative duties for HBI involve acting as a front-line resource for queries, tracking finances and gifts, scheduling meetings, and maintaining office supplies.

For the Mandel Center, the Program Coordinator provides critical administrative support to directors, research faculty, and staff by handling scheduling, communications, travel arrangements, expense tracking, and course or speaking engagement logistics. Additional functions include managing office inventory, welcoming visitors, assisting with technology troubleshooting, and collaborating with event coordinators to support in-person events. Support duties extend to budget management, corporate credit card processing, and follow-up on discrepancies.

This position demands exceptional organizational skills, attention to detail, and the ability to manage multiple concurrent projects effectively. It offers meaningful engagement with both academic research initiatives and the broader university community. Brandeis University values diversity and inclusion and is committed to providing equal opportunity to all employees and applicants regardless of race, gender, ethnicity, or other protected categories, reflecting its status as an inclusive workplace committed to excellence and respect in higher education.
