The role of Program Coordinator, Events, is situated within this vibrant academic environment. This full-time position involves orchestrating the planning, execution, documentation, and assessment of a varied portfolio of large-scale events associated with UC Admissions. These events include high-profile occasions such as Cincinnati Open House and Admitted Bearcat Day, among others. The Program Coordinator plays a critical role in coordinating logistics such as scheduling, venue reservations, catering, technology needs, and supplies to ensure smooth event operations. The position also includes developing event timelines, staffing plans, and material preparation to guarantee consistent and flawless event execution.
This role demands collaboration with various internal partners across Enrollment Management, different academic colleges, and administrative units to meet event requirements efficiently. The Program Coordinator is responsible for maintaining comprehensive event documentation, including attendee lists, vendor contracts, invoices, communication records, and post-event evaluations to improve future planning. Budget monitoring and procurement responsibilities are essential aspects of the role, requiring strict adherence to university policies. The position operates primarily in an office environment but also entails occasional weekend, evening, or early morning work to support event setup and execution.

Job Requirements
- Bachelor's degree
- Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement
- One (1) year of program coordination experience
- Must be able to lift up to 25 pounds
- Must be capable of moving equipment weighing 25 lbs. and squatting/crawling to access equipment in tight spaces
- Office environment
- Occasional weekend, evening or early morning work to support event setup and execution
Job Qualifications
- Bachelor’s degree
- Experience in project coordination, event support, administrative operations, or related areas
- Demonstrated ability to manage multiple tasks, meet deadlines, and deliver high-quality, detail-oriented work
- Experience supporting events in a higher education, nonprofit, or similar organizational setting
- Familiarity with event planning tools, scheduling platforms, and project management systems such as Asana and Technolutions Slate
- Strong written and verbal communication skills
- Ability to work collaboratively across departments and build positive working relationships
- Experience with budget monitoring or procurement processes
Job Duties
- Coordinate logistics for Admissions events including scheduling, venue reservations, catering, supplies, technology needs, and related arrangements
- Support planning and execution of signature events such as Cincinnati Open House, Admitted Bearcat Day, and other engagement opportunities
- Support additional events on the Uptown campus in collaboration with other event staff
- Assist with developing event timelines, run-of-show documents, staffing plans, and materials to ensure seamless execution and consistency
- Maintain event documentation, attendee lists, communications, vendor contracts, invoices, and post-event evaluations
- Collaborate with internal partners across Enrollment Management, colleges, and administrative units to support event needs
- Serve as a central point of coordination for planning, logistics, agenda development support, and internal communications tied to event operations
- Monitor event budgets, process purchase orders, track expenses, and ensure compliance with UC procurement and financial policies
- Provide administrative support, including calendar coordination, recordkeeping, supply ordering, and preparation of event-related materials
- Assist in developing and maintaining standard operating procedures for Admissions events
