The role we are hiring for is a Program Coordinator who will function as a pivotal point in the execution and management of our travel programs. This is a full-time position reporting to the General Manager, designed for an individual who thrives in a fast-paced environment and is passionate about travel. The Program Coordinator will be responsible for orchestrating all logistical and administrative facets of our travel programs to guarantee an outstanding guest experience. This role requires excellent organizational skills, a high level of attention to detail, and the ability to manage multiple concurrent projects with professionalism and a positive attitude.
Key responsibilities include coordinating all logistical arrangements such as accommodations, meals, activities, and excursions, preparing essential program materials, maintaining constant communication with vendors, and managing changes in program administration. The coordinator will also organize meetings for briefing and debriefing group leaders, track program evaluations, and suggest enhancements to improve service delivery. Additionally, this person will act as a liaison between clients, vendors, and internal teams to ensure smooth operations and address participant inquiries promptly.
The successful candidate will frequently interact with group leaders and may accompany groups on-site to oversee program quality or source new vendors, highlighting the dynamic and hands-on nature of this position. The role also involves supporting sales and marketing initiatives and participating in company projects to drive growth and operational excellence.
Our ideal candidate brings at least three years of relevant administrative or operational experience, ideally within the travel and tourism industry, and possesses a thorough knowledge of Hawaiian and Pacific Island cultures. Job Duties
- Coordinate all logistics and arrangements pertaining to assigned programs
- perform a variety of administrative tasks including preparing program materials, payment letters, supplies, and document revisions
- update internal tracking systems
- prepare and process confirmations for program activities such as hotels, restaurants, instructors, and excursions
- draft correspondence and maintain communication with vendors
- handle changes in program administration including cancellations and requests
- set up and attend meetings for briefing and debriefing group leaders and tour escorts
- solicit feedback for program improvements
- document meetings for internal files and team communication
- track program evaluations and recommend changes
- communicate with clients and respond to participant inquiries
- develop and maintain program materials and resource files
- maintain, track, and order program supplies
- request proposals and rates from vendors
- draft and update program budgets and internal databases
- participate in meetings and work on collective and individual goals with supervisor
- improve team efficiency by being a good communicator and responsible team player
- meet and greet groups on site as needed
- be available to group leads and potentially travel to check program quality or source vendors
- assist with new projects including sales and marketing requests and company initiatives
- perform other projects and duties as assigned
