The role of Administrative Academic Assistant in the College of Allied Health Sciences is critical for the smooth and efficient operation of educational and administrative activities. Reporting to the Associate Dean for Academic Affairs, this position provides essential administrative support and guides the Academic and Student Affairs support team to ensure compliance with educational standards and alignment with the college's goals of academic excellence. The Administrative Academic Assistant manages calendar and scheduling for the Associate Dean, supports faculty and student committees, facilitates student recruitment efforts, maintains student data and program documentation, and aids in the accreditation and policy implementation processes. This position requires strong organizational skills, proficiency in Microsoft Office and various data management software, and the ability to communicate effectively with diverse stakeholders. With a salary range generally between $20.29 and $21.39 per hour, the role operates Monday through Friday during the day shift and offers numerous benefits to eligible employees, including health insurance, dental insurance, life insurance, retirement plans, paid vacation, sick leave, and paid holidays. Job Requirements
- Bachelor's degree from an accredited college or university
- Minimum of one year experience in administrative support
- Proficiency with Microsoft Office including Word, Excel, Access, and PowerPoint
- Excellent customer service, interpersonal, multitasking, organizational, verbal and written communication skills
- Ability to coordinate multiple projects, meet deadlines despite interruptions, maintain confidentiality, keep accurate records and make independent decisions
- Successful completion of background and credit checks as applicable
- Availability to work day shifts Monday through Friday
Job Qualifications
- Bachelor's degree from an accredited college or university
- Minimum of one year experience in an administrative support role
- Proficiency with Microsoft Office including Word, Excel, Access, and PowerPoint
- Excellent customer service and interpersonal skills
- Strong multitasking and organizational abilities
- Effective verbal and written communication skills
- Ability to coordinate multiple projects simultaneously and meet deadlines
- Ability to maintain confidentiality and accurate records
- Experience in an academic setting preferred
Job Duties
- Provide administrative support to the Associate Dean for Academic Affairs including calendar management, scheduling meetings, and preparation of agendas and minutes
- Facilitate Alpha Eta Society membership dues collection, bank deposits, and reconciliation
- Provide administrative support for the Dean's office including answering phones and greeting visitors
- Collaborate with admissions, academic and student affairs, and institutional effectiveness to maintain student data for all CAHS programs
- Prepare statistical analyses and reports for academic use and external stakeholders
- Develop reports and analyze data for academic programs and maintain filing systems for programmatic documents
- Support student recruitment efforts by participating in events and coordinating activities
- Coordinate and support student and faculty functions such as assemblies and orientations
- Facilitate the processing of student awards, scholarships, and student liability payments
- Assist in supporting the accreditation process and implementation of academic policies within CAHS
- Provide backup coverage for clinical contracts including clinical education and memorandums of understanding
- Perform other duties as assigned
