Job Description
Cary's Parks, Recreation and Cultural Resources department is a dynamic and community-focused organization dedicated to enriching the lives of its residents through a diverse array of recreational programs, cultural events, and community services. The role of Program Assistant II within the Parks, Recreation and Cultural Resources department offers a unique opportunity to join a passionate team dedicated to enhancing community life through engaging and well-organized events and programs. This part-time, year-round position requires up to 20 hours of work per week, with a maximum of 999 hours annually, and is non-benefited, making it ideal for individuals seeking flexible employment schedules. The Program Assistant II is instrumental in planning and supporting signature community events such as the Daddy-Daughter Dance, Easter Egg Hunt, Mummy & Son Ball, Grinch Candy Cane Hunts, and many others that have become cherished traditions within the town. Beyond event coordination, the role also includes providing day-to-day operational support at community centers, ensuring that visitors receive excellent customer service and that programming runs smoothly.
The position requires creativity, strong organizational skills, and a community-oriented mindset. Those in this role will interact frequently with the public, vendors, entertainers, and fellow staff members, necessitating excellent communication and interpersonal skills. Event planning responsibilities encompass the full spectrum from conceptualizing event goals and objectives to managing budgets, staffing, vendor contracts, and marketing efforts, including social media content creation. Proficiency with computers and office software is essential, as the role involves administrative duties such as registration, data entry, and maintenance of accurate web content. Physical demands include the ability to lift moderately heavy items and mobility to manage event logistics effectively. Candidates should be prepared for a flexible work schedule, which may include evenings, weekends, and holidays, reflecting the nature of community events.

Job Requirements
- Combination of education and experience equivalent to an associate degree with coursework in Parks and Recreation, Communication, Marketing, Event Management, or related field
- valid driver's license with acceptable driving record
- ability to hear and talk to communicate with public
- ability to walk unassisted and move freely
- ability to lift up to 25 lbs
- visual acuity to read typewritten and handwritten materials and view computer screens
- ability to sit and use a computer for extended periods
- drug testing and background check including criminal history, fingerprinting, motor vehicle record, education verification, credit history review, and reference checks prior to employment
Job Qualifications
- Associate degree or equivalent combination of education and experience in Parks and Recreation, Communication, Marketing, Event Management or related field
- experience with community or family event planning or programming preferred
- experience in marketing, social media content creation, strategy or community engagement preferred
- ability to remain organized and multitask
- ability to work independently to create, plan, implement, and manage events
- ability to communicate tactfully and constructively
- ability to understand and carry out verbal and written instructions
- knowledge of computers and standard office practices
Job Duties
- Plans, implements, and manages community events
- performs routine clerical and administrative duties including assisting at the community center front desk, registering patrons, answering phones, and running reports
- assists in developing the purpose, goals, and focus of Cary events
- develops and organizes financial and human resources to implement new and existing events
- assists with facilitating the procurement of agreements with vendors, entertainers, and instructors, ensuring timely collection and maintenance of Certificates of Insurance
- prepares and monitors event budgets and expenditures
- performs marketing assistant tasks such as creating social media content, brochures, posters, and flyers
- ensures assigned web pages are accurate, timely, and complete
- works with performers and agents to determine fees and hire entertainers
- researches, screens, and selects vendors for events
- assists staff in program implementation, project development, and special projects
- sets up activity rooms and gyms
- manages rental reservations, data entry, and general office duties
- performs other job-related tasks as required
